Export orders to Spreadsheet / Excel to email to suppliers
Hi Zenners,
Every time a customer places an order I have to fill out an order form in Excel and email it to my suppliers, the order form has fields like this below.
Surely it is possible for Zen-Cart to export certain orders into Excel? At the moment for every single order every day I am cutting and pasting into each field, there has to be a better way to export into Excel with these fields:
Name:
Company:
Address 1 :
Address 2 :
City :
State :
Zip Code :
Country :
Telephone:
Product Ordered:
Qty:
I need to do this every day so ideally I could just put a checkbox next to several orders and have those exported?

However how do you run an SQL query like that? Does that mean I have to login to my GoDaddy MySQL admin every day to do this? Still not sure how to run those SQL statements.
A button within Zen-Cart I could check and export would be great? Even better if I can tick and select certain orders only??

I would venture to guess that very few shop owners need or require orders to be in excel format...
So you are probably on your own obtaining this function and making it available in the admin
This could be a form of the order notification mail...but you need this in excel so a mysql export of the relavent order tables would be in order as a csv that you can then open in excel. Once you get this worked out you could then cron this to happen at some time each day...
Too bad you are with GoDaddy!!!

I've got a mod I created to export ORDERS directly into Excel format (with the info you need here and more) that I used to integrate with UPS automatic shipping, scale (weight) and label printing for bulk orders.
Let me dig that out here and I'll send it over to you to download. It was accessible from the Tools Menu under the Admin.
Hang on a day or so. I'll get the files needed for it together.
It should do exactly what you want -- or need very little modification to get it to only include the fields you need. In mine, I had to include weight of the order etc.. as well as the shipping location.

Do you have to send an excel spreadsheet? I usually email each order to my distributer if I don't normally stock the item. So why not have the order emails simply bcc the order to distributer?

I don't know about everyone else but we stock everything we list on our websites with the exception of a few items (less then 100) which we have drop shipped. By time I get done we will probably have a little over 25000 line items listed on our site and we are hoping for 50-100+ sales per day. Right now we are using a custom made e-commerce solution which is starting to show its age and I am building a new test site with zen cart and a whole slew of mods. With any luck I will get the owner of the company to allow me to implement a zen cart based solution on all of our websites.

Basically the lines items of the cart...
Not sure how it would handle multi lines or even attributes...but basically what I'm looking for is a way to import the orders into a different database instead of manually retyping everything.

Order Id is already in the export. Shipping total and Order Total are easy to add (had them in a version I was using). The other items I'll look at adding here.
I have an idea on the module that may make it easier for people. Let me do some work here and in the next build version, I'll have these items for you.

wow thanks for all the help and econcepts, awesome work!!
Just with that shipping information exporter, I tried it out, but in order to be able to use it for our dropshipping there are some other important fields it must include, basically COMPANY NAME needs to go on the shipping labels as part of the address, also PHONE NUMBER I see the column heading in the export but no-ones phone numbers are actually exported (it is all blank below).
Of course we also need some fields with PRODUCT NAME and QTY to send to suppliers in the export. Lastly I would also like to export the NOTES field (extra info a customer types in, which the suppliers often need to see):
So extra fields in summary:
COMPANY NAME
PHONE NUMBER
PRODUCT ORDERED
QUANTITY ORDERED
NOTES
As mentioned this was what I needed before:
Name:
Company:
Address 1 :
Address 2 :
City :
State :
Zip Code :
Country :

Also with product ordered and qty, some customers order a few different products in the one order, so may be helpful to have extra columns, product ordered name A, product ordered quantity A, product ordered name B, product ordered quantity B, etc.

Yes, I have had that request a number of times now. It will be in the next version more than likely. I have most of the current requests in there now (BETA in the new version that I am completing). Just had a few thoughts doing it that may help other users after hearing all your requests.

I also would love for it to include not just the order # but the specific products ordered and the quantity of each.
Like others mentioned here, I'd also be using it to export info from ZC and then import it into another database.

Yeah, I'm just about there. Hoping to have it in the next few days at the latest.
This one is far better than the first. Since each user has different requirements, but all need the shipping address, etc.., I made it possible in this new version for you to actually select which "additional fields" you want included in the export file.
I also included a few other "bonus features" as well.
I have it running successfully on my test system. A screenshot of the newest version (to be released soon) is attached for reference.
Consider it a "sneak peak". :smile:

Everybody is going to get to "test it" in the next day or so. I have one bug that just arose and am working that out. After that is out of the way, I think it's good to go.

Export Orders to Excel - New Version 1.2.0 Ready!
OK Everyone.
The new version of the Export shipping module is ready to go.
I uploaded to the contributions section here at Zen tonight (as an update to the previous version). I anticipate that being available and active within the next few days (sometimes they are faster with approving mods).

great contribution! just a couple of things, wondered how easy or difficult to fix:
1. when a customer has purchased multiple products, every product appears on that line and then that line is repeated; is it possible to repeat the lines, but have each product appear in a single "product ordered" column? this would make it much easier to create tables and organize the data by type of item ordered etc.
2. is it possible to automatically have the field names included at the top of the spreadsheet? (in case it needs to be imported into a shipping program, it helps to have the headings).
3. foreign orders are causing the columns to go out of alignment (could be a setting in my excel? or maybe a blank space needs to be inserted in the u.s. orders to make it line up right?)

See if I can cover some things here for you.
1) I know why this "could" happen (it happened during testing once and I thought is was corrected). To diagnose, can you spot a "pattern" of when it happens? (Like when 3 products are added, like when there are multiple attributes, etc...)
2) Actually, my personal preference is to include EACH order per LINE instead of "each order per column" as it is now. However, so many people asked for it the way it is now, I figured that was the "safest bet". I'll work on another version here in the coming weeks once I get some more feedback. In that version I will attempt to give you the option of printing out "1 product per row" or "multiple products per row (as it is now).
As for the product pricing, that is not a problem to add. Pretty easy there.
3) Yes, and no. I had the headers in the original version, but due to the way people wanted the export to happen (different length records), it was hard to create a "standard header row". My plan was in the next version to figure out a way around that and provide header info as well.
4) Can you send me an example of an address (foreign) and using FAKE info (but in the same format as it comes across to you) so I can look at that.

Question - I did my first export and I selected to open the file instead of save it. It said the file could not be read, and the file size is 0.
This could very well be because I selected Open and not Save - I've encountered that problem before - so it may not even have anything to do with your module.
However, I can't try again with the Save option to see if I can export successfully because it thinks I've already exported everything, so there are no records to export.
Is there a workaround for this -- to re-export items that it thinks I've already exported?

Currently the only way to "re-export" files is to manually get into the orders table in your database and set the "downloaded_ship" field to "no" for all the records you want to try to export. In future versions, this may be a feature that I add to the Admin, however, in that case, you would need to manually select the files that successfully exported.
The reason you got a "0" is more than likely because of something done in the way you saved it. I have never experienced this problem in the past.

I tried again downloading new orders using "Save" from the download box instead of "Open" and it still gives me a file size of 0.
Do you have any idea of what I could have done wrong in the way I save it, since you think that is likely the problem? All I did was:
- Click "Full Product Details" box
- Click Export to Excel Spreadsheet Button
- Select "Save" when the download box appears

Firstly, great module, just what I was look for :clap:
I'm having a similar issue with the 'orders' being duplicated.
If an item is paid for using PayPal Express Checkout, it updates the status box, therefore making two lines that are exported.
I also tried it with the money order payment option, only one line is there, which is fine, but I then 'updated' the order (didn't change the status) and this caused two lines to be created ready for export, and if once payment was received, I updated the status, this would then cause a third line to be created. So basically, it appears as if there are two/three orders under the same order number. Maybe there is some way to make it only able to export one line per order rather than based on the 'status/history' table?
Also, a suggestion, is it possible to only select certain orders based on status? eg. I only want to export 'Processing' orders (orders that have been paid for). I don't want to export orders that are still awaiting payment as then I run the risk of sending an item to someone that has not paid.

Yeah, the next set of "revisions" are in the works to offer more options for export.
The reason you are seeing duplicate order lines is due to the "number of comments" an order has. If an order has more than one comment, then you will see multiple lines that look duplicate (but if you look closely, you should see the comments section is different form row to row).
I am working on a way to avert this, but am also working on the ability which many other users have requested which is to allow the orders to export as "1 PRODUCT" per line (not "1 Order per line" as it is now).
This would assist those looking to import the data in to programs that require a set amount of fields to be present (which most programs like).

Ok, I haven't tried importing to any other programs yet, I'm thinking along the lines of ordering. When the lines are duplicated based on the comments, it appears there are two orders for the same product, I realise the order number is the same, but for example, if I was to send that file or similar to a supplier, the order would effectively be doubled (unless I was to manually remove each extra line).
Heres how it looked with the money order option used, and this is without it being marked has payment received, which would cause a third line:

And also the ability to select only certain products, ie. select only orders that have been paid etc. would be really good.
I can understand the 1 product per line, as they have the same order number so that shouldn't be a problem, but from the basic ordering point of view I could see it causing problems with doubling up orders, wouldn't it?

Great points. Yes, I see what you are saying with the "doubling up" of orders (with the same id). The reason you are seeing this is due to the "order status history" (mainly the "comments" field). If an order has more than one comment (or is "updated") and adds a new entry to the "order status history" table, then you will see multiple rows which appear to be duplicate orders.
This is an issue that I will work on in the next release. Hopefully that addresses a few of the concerns a few have had.
The next release will attempt to address the concerns of two different types of "users" of the module currently.
1) those needing only one row of data per order, complete with all comments, order details, qty's etc... which they will send off to a supplier
2) and those that use the data to import into another program for analysis (which would require there to be a set number of fields and have one "product" per row (rather than one "order" per row).
So, with the next release, those two issues will be addressed.

Not really. This is actually the "standard" way that most export files would be generated (for most programs). If you were to try to import the current export format to any program for analysis, the columns would overlap due to there being more columns in some orders than others.
By standardizing the export into a set number of columns, all data would be present as needed to import into a program (like excel etc..) for complete analysis.
I can assure you, that the current export functionality will remain in the next release. I am only going to add another option for export format so I address the concerns of those looking for the latter.
The next version will allow you to select whether or not you want the orders exported in "1 order per row" format or in "1 PRODUCT per row" format.

Just using this mod I am having the same probs as everyone else - every order paid with PayPal Express is being completely duplicated
Also COMMAS in any field are throwing all the columns completely out of whack, just about EVERY order comment has a comma in there somewhere, also many addresses have commas such as "Level 1, 25 North St" etc. or "North Sydney, Sydney", the commas automatically start a new column, also I have many line breaks in my order comments and this automatically goes over several lines as well e.g.

e.g. the above goes over 5 lines. On second thoughts I don't really need to export MY comments really just the CUSTOMERS notes they added to the order
Maybe we can just export as EXCEL instead of csv? Or these fields need to be exported in " " because I know excel uses " " as a disqualifier
I think one line per order is definately best as if we send orders to the warehouse to ship, we have to fill in a form of each order and some have 1,2,3 products etc.
Definately I think the best way as far as exporting orders would be to TICK and choose the orders you want to export! And also display them MOST RECENT FIRST not earliest in time first as is currently the case

Yes, that occurs (duplicate rows, and items thrown off due to the way many users wanted it to export (although not the "best" method).
So, I already have the next version just about set here and it allows you to select another method of export format. So, those that like the current way can use it, and those that like it with a "set number of columns" (great for use when comparing in programs like Excel) will have that as well.
I personally prefer the latter, but I want to give users the most flexibility.
In any event, the next version (will just overwrite what you currently have) is set for release very shortly.
I also included the " " as the text qualifier to overcome any of those initial issues of "throwing things off" for records with "," in them.

I have just released a new version (1.2.1) of my "Export Shipping and Order Information" contribution.
This version (1.2.1) is considered the current Stable version, and anyone using previous versions should upgrade to this (very easy ... just overwrite everything you have there currently with the new files).
I uploaded it to the Zen Cart downloads section, and it should be available within the next few days (as soon as approved by the Zen Cart Team).

Bugfixes Included in Version 1.2.1
1. Text qualifier (quote) ” added to eliminate records breaking to a new line when a comma was present (mainly in addresses).
2. Corrected issues with multiple lines being exported when more than one comment was present for an order. Now only the first comment is exported with the list. This is typically the comment that the customer left while placing the order the first time.
3. Corrected issues with order comments that span multiple lines throwing export off.
New Features for Version 1.2.1
1. Added the ability to export in two different file layout formats (”1 Order per row” OR “1 Product per row”)
2. Added “Test” feature. This enables you to run a test export without marking the orders as “exported” in the system. It can be handy if you want to export items and test import into other programs before you actually want them to be marked as “exported” (which removes them from future abilities to download). Once you are satisfied with your test, de-select that option, and export as normal. The orders will all export and be marked as “exported” so they will not show up in future downloads.
3. All product attributes are added to a single column and are separated by a pipe delimiter ” | “
4. Added header information and set number of columns to each export making it easier to import into other programs and analyze results.
Again, if you are running previous versions of this software, I recommend you upgrade to this most stable release (1.2.1). I've made it very easy to do so.

This is a great piece of work! Comes in very handy, how easy is it to exports orders and being able to select order status as : processes, delivered etc.
is it possible to add the order status field in it as well?

I had planned on adding a feature similar to that in a future release. In this recent release I wanted to address a number of the concerns users had with some "bugs" in the program and was looking to "clean up the export" files a bit.
I'll put the ability to export based on order status on my list for future release.

Unfortunately, there is not a "work around" for it. However, you are not the only person that has requested this feature so, I will look into adding it sooner than later. Maybe I'll come up with a quick release that you can upgrade to if desired which will enable a feature like that.
I've briefly touched upon it in my "testing", but never implemented it in this last release. Again, I'll see what I can do to move it up to the front of the pack here.

Hi econcepts!
thanks the latest version is workable and is helping me out.
only small thing I noticed is the COMPANY NAME does not export, it comes up as blank, maybe that is because I believe customers enter the company name when they sign up and not as part of the delivery address per se
anyway I exported 25 orders and all of the company name fields came blank even though there were clearly company names as part of the delivery address when I clicked on the orders
also does it export ORDER STATUS? this may help so I can see who has paid and who I am waiting for payments from and not ship those yet
also another function it would be good to maybe tick and select which orders are exported, even better if we could BULK change their status from say "processing" to "update" and include a standard message "Thanks customer_name, will ship your order ASAP and get back with a tracking number"

Glad you like it. I'll check on the company name item here. I'm sure it has to do with the issue of "Customer Company" and "Delivery Company" (two different fields in Zen) being utilized.
The export should be "Delivery Company". Again, I will look into that.
The current version out does not export order "status", but the next version will have that feature as there have been a few requests for it.
I will look into the ability to changing of orders status from processing to update, as well as the email functions, but, keep in mind that zen cart already does this (although not in "bulk format"). However, I will look into it as well and consider it for a possible future release.

Thanks for the hard work, just to recap I have been using your export orders mod for a few days and here are my suggestions and minor issues to fix for the next version
- Company field in the delivery address does not export, so I have to go through every order manually to get this
- Actually in the field "Delivery Post Code" it exports the state, and in the next field "Delivery State" it exports the postcode.
This is not that big a deal, actually I prefer that STATE is exported first and POSTCODE after that as that is the way addresses are written and that is the order I must give information to suppliers and couriers. So the way it is exporting is actually the best, you may want to fix the header to reflect the info being exported though.
1) What I would really like is to be able to TICK AND SELECT the particular orders and export those. E.g. because some orders are not paid yet, and some orders come from different suppliers.
2) Currently what I do manually after exporting each order is I have to click on it and change it usually from “Processing” or “Pending” I change the status to “Update”. I then have a standard message which I tick a box using Marg’s insert comment code, that automatically does a message:
“Hi [Customer’s First Name],
Thanks for your order, will ship ASAP and get back with a tracking number
Best Regards”
If I could export the orders and change the status and send this customized message out AUTOMATICALLY in BULK that would be awesome. That way I can process 20 orders at once rather than 1 at a time!
Does anyone know currently how I can just do the 2nd bit and bulk status update say 20 orders which I select to status: UPDATE and send out that custom message? Even if I could get the above done in 2 steps that would really help?

Good comments Dave and thanks for the feedback. Will put these on the list for the next release.
As far as how to bulk update and send out a message now with Zen cart, I believe you could use the Super Orders contribution. I am positive it allows you to bulk update order statuses as you need. If you select "notify customer" I believe it would also then send out an email to each order that was updated.
That should do it for you at this point.

Just a quick post to let everyone know I just released version 1.2.2 of the Shipping / Order Export Contribution.
It is primarily a bugfix release that addresses two reported issues:
1. Bugfix: Corrected “table not found” error message when exporting all attributes / 1 product per row
2. Bugfix: Corrected placement of Zip code and State fields in export.
There are a few requests for "added features" that I plan on getting to in a later release, but I wanted to address these two bug issues first.

Eric (econcepts) and I have been trying to figure out why I'm having a problem getting his great mod to work, but have had no luck - so I thought I'd post the problem here, in case someone else has encountered it and has a possible solution.
When I export, no data is included. The column headers are there, but the data is completely empty. This occurs whether it's in test mode, or true export mode.
Has anyone else had this happen - and if so, did you find a solution?

GREAT mod - and one of the few with complete instructions and worked right out of the box (unlike some other mods I've been fighting with for days!).
One problem, though - every time I ran it (both test mode and real (reset worked well here))), it only exported the first 10 orders. I looked closely at the orders table to see if there were any significant differences between first ten orders and the rest, but couldn't find anything.
Any ideas why the other orders don't show up?

Yes, this has been reported as the current "correction".
I am looking into it as well for the next release. That particular part of the SQL query was used to link up the proper class file for returning the Total Shipping amount.
Make sure you check your total shipping etc.. and compare with the actual transactions they represent to ensure it is all calculating correctly and "lining up with" the proper record.

Your mod sounds like something we need. I need to capture some of the fields from Zen and export them into a membership database, and I would like to do every time an order executes. I get the impression that your current mod runs as a batch function.
What do you think?

It does run as a "batch function", but it does require you to "click a button" to export (user intervention) currently. (It is not setup to export a various timed intervals.)

Hello,
can somebody point me to the right direction.
I installed shipping_export module but getting:
2013 Lost connection to MySQL server during query
in:
[select count(*) as total from orders o where downloaded_ship='no' ]
Though I can not find that statement in shipping_export.php. Where does that sql comming from?
Also, i installed v1.2.2. but top right corner says VERSION: 1.2.1 (i guess version label is not updated).

Interesting that even after dropping 'downloaded_ship' column shipping_export.php displays error above. but when i run the same statement in Sql_patch window it error out due to unknown column.

Glad you got it working and equally glad you like it. It seems that from my reading, your initial error was directly related to a hosting issue (not being able to "hold" a connection to the MySQL DB). Once they resolved that, it probably resolved the rest.
In reference to the upper right corner saying "1.2.1" even though you are running 1.2.2 version, you are correct. There is one file (that will alter in a future release) which was not updated if you just upgraded from a previous mod.
The version number comes from one of the language files, so if when you upgraded, you didn't upload all files, it will show version 1.2.1 in the upper corner (when in fact it is 1.2.2).
Long story short. That version number will be moved to another file in a future release (1.2.3) which will have a number of improvements and options for export. No ETA on that version as it seems everyone likes the current one and it includes what was mainly needed.

So, let me make sure I got what you want here. You want an extra checkbox that allows you to include "payment type" as an option for export as well right?
I have a few plans for later releases, and I could include that in as well.

Hi,
Yes that is correct. Basically I download paypal csv accounts aswell.
I need to know which payments are with paypal so that dont re-enter the same info twice when combining the two together.
The reason I need the paypal sheet aswell is because I make sales on eBay aswell.
So if I can see what payment type they are I can delete those ones that are paid by paypal without having to compare with paypal one by one.
A HUGE time saver :)
This later release coming anytime soon?

econcepts Your ZC Export to CVS is really great. I have one problem though. I need the Order Product Attributes to be in their own field as these get exported to a Mail Merge Word Doc and I have no way to parse the fields/data as it is contained in one field. Any suggestions or help? Too, I have tried the export from MySQL/MyPHP but since I get multiple records for each product it is no good. Again, any help or suggestions appreciated.

The original version had each attribute in individual columns, but that didn't work well because the resulting export file had an indifferent number of columns which made it virtually impossible to import into anything else (as the standards were messed up).
So that idea went out the window early on, and in place of it was the concept of adding it all to one row, but delimiting it with a "pipe" [ | ].
That allows those who need to have each item separated out to use the pipe in that last field to determine where to make your breaks. It also allows the rest to not have the imports thrown off by mis matching column numbers from record to record.
If you want to get one order per row, you have to select that option before export. If you want 1 product per row, you need to select that. You may want to take a look at the read me file for more information.
In short, you have the option to export either one product per row, or one order per row from within the admin. Just make sure you choose the one that fits your needs.

I have this same exact problem. When I look in Tools-ExportShippingOrderInformation, I can see al of my customer email in the list, but absolutely nothing else... there is no other information at all, and the "preview order details" image is missing from the files, too.
Should I redownload the zip and try to reinstall again? I am using the most recent zencart, too.

See if this solution works. There were a few people that said that no data was being exported and they narrowed it down to an element that referenced the ot shipping class.
See this entry and let me know if it works. These and others will be addressed in the next release.

He doesn't say what else he fixed or edited besides deleting the "AND ot.class....." but this still doesn't account for the missing .gif file for "preview order details"

Hi great module. It was easy to install and great to use. The only thing I am confused with is the order total. Does this include taxes? And can we have the tax amount as an additional field. Because this would be awesome to use as a quick tool for that too!
Can you let me know how I can add the tax amount to the additional fields?

The mod looks to be great, but I am obviously doing something wrong. I have followed the install, but nothing shows up in the lower portion of my screen. The last thing showing is the Notice, and nothing at all below there. I have verified that I have had sales since the install. Any ideas???

I would try to reinstall and make sure you didn't miss anything. The other thing to note is that it will only show orders on the screen if any NEW orders have been added.
In addition, make sure you ran the SQL query to add the extra field in the db for it.

Hi Eric and everyone,
I need to export some orders from last year again for tax reporting purposes?
Any idea how I get them to show up again so I can export them? Any code I can reset or edit?
I did export them before but did not include proper field last time and it didn't work properly??
Also is this the most suitable tool to export orders for tax reporting or does someone know something more appropriate (something that shows sales taxes, last order status, payment method would really help!)

Great stuff here. I've had a number of request for similar functionality and planned on adding the ability to export
"tax"
"payment method"
and possibly last order status as well.
I've been in the middle of a number of projects, but it looks like it is time to move this next version forward a bit (which would be 1.2.3).

Just for now how can I re-export some old orders again?
Obviously since I exported before they are not showing, but I didn't include the order totals etc last time so need to export again
can I edit or reset the code somewhere? Or will an uninstall / reinstall do the trick? I don't want to mess anything up :)

The only way right now is to go into the ORDERS database and set the "downloaded_ship" field in each record you want to re-export to "no".
This will make them show once again when you visit the "export shipping" page in your admin.
To speed up this process, you could write an SQL script that looks something like this and run it form within your admin.
UPDATE orders SET downloaded_ship="no" WHERE downloaded_ship="yes" AND [add your other criteria here such as dates between etc...]
