Hi,
Does ShopAdmin only have knowledge of the standard fields in the Zencart database tables, e.g. for orders? I have added additional fields, but these don't show up as options when I try to create reports.

Javier - ShopAdmin currently auto-detects only fields in the products table. We haven't had anyone asking for support for orders fields yet. What fields do you want supported?

Thank you for your reply. I have added a field to the orders table to show a puchase order reference (po_number). There is no set format for it to be entered - it can even be a person's name. There may be others but I've just woken up and the brain needs coffee :-))

To explain a bit more. Although each order is issued with an invoice, business customers still want to see a statement - for example, outstanding unpaid invoices. I would like to be able to add a "PO" reference (for purchase order) to the report so that when the report is generated, it has a list of outstanding invoices listed. This can then be sent as a chaser for non-payment. Hope that makes sense.

I have tried to import attributes several different way and I always get the same error message.

For each row in the product attributes CSV, ShopAdmin looks for a matching product record, i.e., one that has the same product id or the same product name as the value in the "product" cell. It issues this error if it is unable to find a matching record. Please bear in mind that the matching is exact: the product name (if that's what you have specified) must match exactly, including case and embedded spaces.

above is set in ZC - I have added attributes to product, can see here.
I export that in apsona fine
when I try to upload using same cvs layout as the export it wont accept the new products.

Two questions:
- Did you watch the video on that page? Was it of any use?
- Any particular reason you can't use the product name instead of the product id for matching? I would think it would be easier to match names, provided of course that your products all have distinct names.

I did watch video, i checked for mis-spelled words, ect. but as I stated I copied right from export. Only difference is Option Value Price

raybar81 - you are correct, there is an issue with updates by product id. Now looking back at the logs, I see that we used to support lookups by ID as well as by name, but that was leading to some rather hard-to-find errors because people were using them interchangeably. Obviously we did not fully resolve this issue.
We'll put this on our list of upcoming bug fixes, but in the meantime, I'm afraid it can only do lookups by product name. We'll definitely post a note here when this bug is fixed.

Hi there Apsona. I've got a suggestion for a future update:
Edit orders! I hate over-writing core code like the current add-ons make you do, and it would be really good if you could apply your product editing easiness to editing customer orders (like by price, quantity, tax rate etc), but also notifying the customer like it currently does.

Any chance of getting an extra field added to the "Orders" table in ShopAdmin, to show "Purchase Order ". I have an additional field in the orders table of the database "po_number" (string data type). I do not need auto detect of fields. This would enable me to run a lot of reports. The PO is a customer supplied reference. Many thanks.

Apsona is working great, but now we found a litle problem we hope you have a solution to, and its this: when we export new pending orders, we are not able to import them into our accounts system because we do not know what the customer has in its order, is it possible to get the products lines as well as the other info? the model name and net price is all we need as well as what you allready have in there.
Is this possible?

Perhaps I don't fully understand your question, but it seems to me that you can create an ordered-products report with all the fields and filters you need, run it and export it. You can filter the report by the "Pending" flag on orders, and you can add fields into it from the order record, the ordered products record and the products record.

I have been trying, through this program, to access the products_discount_quantity file so I can export, to make changes and import back, without any luck.
With my limited knowledge, can't seem to find the file in Apsona.

This is a hard one. We tried to incorporate support for discounts, but it doesn't seem very easy. The database table for product discounts has no primary key, and the Zen Cart code seems to use the <discount_id, products_id> combination as the key to the table. And we don't yet support such compound keys. It would have bee SO much easier if the table had a straight auto-increment primary key.

The Discount type is part of the product record - below is an image to show it. (Assuming that's indeed what you're alluding to?)

I'm not sure what the developers of Apsona are getting out of this?? They don't charge for the service and the scripts are hosted on their server, so this is costing them money in development time/customer service (in this forum and elsewhere) and server costs. You have to create an account to even use this service, what's that about?? There is nowhere to make a donation to the project as far as I can see, so again what does Apsona have to gain from this?? You'll notice on their site there is no mission statement, no about us, no telling you the reason why they are doing what they are doing.....
Am I just being paranoid? Why isn't this released as a product that is entirely hosted on the client server?? Why do I have to use remote scripts to use this product? Why do I have to create an account? I just can't get my head around doing all of this for free.... am I missing something? There isn't even a section on their site to hire them for commercial applications/modifications/etc, so how are they making any money from this? It can't be all out of love....
It looks kind of cool and I'd like to try it out but I have serious misgivings since the scripts doing the real work are on a remote server so I have no way to DEFINITIVELY know that all scripts are 100% benign since I can't look at the code that is interfacing with my cart's admin section!! We are pretty large and have a lot of sensitive data that could possibly be "harvested" for other uses.
I keep coming back to these questions every time I see this thread. And this statement from the Apsona's site FAQ:
"The ShopAdmin system works entirely within the context of your shopping cart application. It does not cause any security risks." is pretty vague and doesn't inspire confidence since it gives no specific details about how it interacts with your cart, and of course, since the scripts are hosted remotely there is NO WAY TO VERIFY THIS!! Plus, it DOESN'T work "entirely within the context of your shopping cart application" since it's using scripts that are remotely hosted, sorry to sound like a broken record and all that....but
Why not release this to be hosted on the individual's server with open source - non-obfuscated- code?? What do you, Apsona, have to gain by hosting this on your servers and forcing people to create an account before they can use it?? What am I missing here? Am I alone in thinking these things?? Does anyone agree with this? Or am I just being paranoid about letting an unvetted script full access to my data?

I love the mod, but yes more info about the company and their intentions would be nice.
I think Apsona is keeping control of it so that it will rise in value. The more shops it services the more valuable it becomes.
If that is the case then one day Apsona will be up for sale, or it may decide to charge for the service.

Is anyone else finding that on a store with > 1000 products and 5 attributes per product, that when going into the "Products" section of Apsona, it hangs the DB when filtering by product name?
Totally maxes my memory out.

That's not the intent of the example on the website. There is no reason why you can't import the attributes of a thousand products in one batch. Why do you ask - are you seeing any anomalies? If so, please let us know.

Does this happen when you put in a name into the "search" box at the top, and click search? Or when you choose just "product name" in the "More options" area? Or both? (I would guess it happens in the first case, because by default it looks for matches in three fields, name, description and model - you can see the check boxes underneath the "Search" button).

lankeeyankee - Thanks for your comments. It is easy to verify what ShopAdmin is doing. First, you can look at the PHP code, which is clear text. Second, you can open up Firebug in Firefox (or HttpFox or HttpWatch or your tool of choice) and watch the traffic from your browser. You will see that there are two servers to which traffic flows: Your own server and shopadmin-svc.apsona.com. If you open up the packets that flow to the latter server, you will see that the only information it contains is logging data indicating what table was accessed and what operation was performed. It will not contain any data from your database. We use this logging data to improve the performance of our software, and this fact is stated in our terms of service and elsewhere on our website.

Looked at it but as I said I am a rank amateur and cant seem to work out how to add a list a items from an excel spreadsheet (can I s3end you an extract of the spreadsheet I am working with to illustrate my dilemma)

So I have been trying to get Apsona to work. I have been able to install it, but when I click on the link in the admin section, it takes me to a page with a header and footer and nothing else. It does show my name, the store name and it has 2 links for my account and feed back which are not working. I checked the Apsona site and followed their recommendations on possible causes of this, but everything seems to be in order. I checked that the tables got added to the data base, I am using supported versions of MySQL and PHP, I am running Zen Cart 1.3.9h, on a free shared linux hosting plan through GoDaddy, though this will change once I get things to a certain point.
I have emailed support at apsona and am waiting for a response there, but I thought I would check here to see if people have been able to fix this problem and give me ideas of things I can try. I did read something about name server issues, if someone could shed a bit of light on that for me as to what I might check. Any help is certainly appreciated.

Unknown column 'undefined' in 'where clause'
I just installed Zen Cart 1.3.9h and found Apsona, so I installed it and the latest update and no other mods. When I go through the product mass import (the manufacturer import worked like a charm), I get his error:

Unknown column 'undefined' in 'where clause'

I sent the screen shot 2 times now over the last few days but haven't received any response, so I'm hoping to have a little better luck here on the forum.
As for other troubleshooting, I saw a post that said to use Firebug, so I did. I get this from firebug:

So I wondered: Am I importing in the wrong order, do I need to import the categories first? Then the products?
I tested this theory and others, still get the error....
PLEASE HELP!
Also, a HUGE THANK YOU to everyone that worked on this or any other open source tools I've used.

THE ISSUES ARE FIXED!!!!
I'm very happy to report 2 things:
1. Apsona's support is awesome
2. The problem was more with my version of MySQL than with the Apsona ShopAdmin
Apsona went out of their way to help me, including working at 11PM at night with me to get to the bottom of the problem.
I can't say thanks enough or how impressed I am with Apsona!

I would also like to add an update to my situation. Apsona contacted me after I put in a help request on their site. They offered to do a gotomeeting session to help resolve the issue. But before we scheduled the session I switched from a free hosting account to a premium hosting account. Once all the site files and database were transfered to the new hosting plan, still with GoDaddy, Apsona started to work. So my guess is that with the free hosting account through GoDaddy there are several limitations.
I must say that I am very pleased with the Apsona software so far. It is proving to be extremely useful in getting all my products up on my site. When I started building the zen cart site, I was not looking forward to loading on all my products. Apsona has made this seem effortless compared to what I was imagining that I would be doing.
Apsona, you are good people with excellent software. Thank You.

SO far... IM in heaven!
Have been struggling no end with Easy Populate. timeout issues and download csv problems with no apparent solution..
I have a HUGE amount to products.. in the hundereds of thousands with incredibly complex Category Linking.
What used to take a frustrating hour with Easy Populate, now takes me less than 10sec to export my entire shop.

Having loaded ShopAdmin onto my 2-language non-production Zen Cart shop (v1.3.9b), it appears to do everything I really need, and could be the answer to my prayers. Except, the multilingual support doesn't seem right.
When I create a single product, I need to be create it with names in both languages, and descriptions in both languages.
This doesn't seem possible.
When I create the product with the first language selected, I can only enter that language's details. When selecting the other language, I can't even see that product in the tool ...
What am I doing wrong?
What I need is to create a product, and enter names and descriptions at the same time for both languages, while that product keeps a single id and model number.
Point me to the right way of doing this, and then I'm sold.

nicnet - one approach to maintaining products in multiple languages is to import each language in a separate batch.
For example, suppose your cart supports English and Spanish. Your first step would be to import the English versions of the product info: (a) choose English from the language dropdown at the top of the ShopAdmin UI, and (b) in step 2 of the import wizard, map the language-dependent fields (such as name and description) to their English versions.
Your next step would be to update via import. This time you would choose Spanish in the language selector, and in the import wizard you would choose "Update existing records". You would then map the language specific product fields to your Spanish versions, and proceed with the import.
After the first step, if you change the language selector to Spanish, you will probably not see the product records within ShopAdmin, as you indicate. But that's because ShopAdmin tries to display Spanish data and doesn't find it. That doesn't matter - simply go ahead with the update via import, and things should line up afterwards.

What needs to be stressed is:
1) IMPORT of new data (english only) : thereby creating new products.
2) Change language and then UPDATE now-existing products with the second language fields.

Yes - I can get this (dual language import) to work now, based on the use of new and update.
Looking at the products and products_description tables with phpMyAdmin helped me along as well.
This seems to be me to be an extremely useful and well supported addition to my zen cart. Where is the catch? (is there one?)

Since yesterday, I can't update my products with apsona. I do not know what might be the issue. If I choose 'update existing record', it would tell me that apsona is not responding.

We've not made any updates in the last week or two, so this is unlikely to be an issue with ShopAdmin. Have you talked to your hosting service about this?

Hello, I have a ZenCart site hosted on Hostgator using a dedicated IP address for now. I have a live site elsewhere so I can't transfer the domain over until I get this site ready to go live.
I have the latest version of ZenCart and have installed Apsona and unzipped it to the 'manage' folder which replaced the 'admin' folder on Hostgator. The new Apsona link is showing under my 'Tools' menu in the admin site but when I click on it I get the following error message. I have the link that Apsona sent me regarding the installation but this error message isn't mentioned in it. I don't know if using the IP address instead of the domain name might be messing it up or not.
Does anyone have any idea where I need to look to correct this? Thanks for any help.

RiverCity - I would guess that this is either a permissions issue (you need to set the file permissions to executable), or a security configuration issue with your hosting company. I would suggest that you try changing the permissions of all the ShopAdmin files so that they are executable, and please let us know what the results are.

Had a similar issue (although no 404) where "check connection" error would pop up then "progress bar being used somewhere else"
First things first. CHECK LOGS. Should see more specific errors.
My issue was with mod_fcgid (RiverCity is running this) and the MaxRequestLen directive. But if your not running your own servers, your web host will need to investigate. This fixed my issue.

Im experiencing the same problem.

I am trying to upload products to a web site and I keep getting the following error:
The server is not responding. Please check your network connection.
Status: error
There are no errors in my log, the host does not see any issues on their end either.....I am stumped.
I tried copying a few lines to the copy and paste option and when I did like 5 lines it went through fine....so I did the spreadsheet and got the error...then I tried again by copying and pasting 50 lines...and still got the error....
If I click OK on the popup error message..then the progress bar will still come on and show the time it takes to download things, but the blue bar does not move and it does seem the items make it into the database, but do not appear in the Zencart Admin....
I am just baffled here....any thoughts?

jill8026 - I assume you've been using ShopAdmin without this problem in the past? We haven't made any major updates in a few weeks now, so it's unlikely to be an issue with ShopAdmin. Is it possible that your hosting service has added some security controls that might be causing this? Perhaps you can ask them about it?

I have been using Apsona for a while, but honestly never uploaded products before! :-) I know how odd! I use it as my main admin area and so do a couple of my clients...but this is the first time I really needed to upload things....
I did talk to my host and they are not seeing anything at all....typically we have mod security issues that we run into on occasion - but they do not see any errors at all......just wanted to run it past you...
I will call the hosting company again to see if I get a different answer! from someone else!

i have been doing updates on products to the website im setting up, and i got the server not responding error, now the complete site is down, im only able to load none mysql dependent pages, but since the orther webshop running on the same server is all good, what could then be wrong here?
mysql is working all good, but do apsona lock tables under update or anything else that can be the reason why im not able to load this site when the other one is working without any problems?

Anyone using “numinix_product_fields”
I’ve got that plug-in installed and it has an optional piece that adds a second Description field called “products_description2” to the products_description table.
My problem is that Apsona doesn’t see that new field. It does see the other new fields added by “numinix_product_fields”.
Is anyone else using numinix_product_fields, and have you seen this problem?

Again today i was going to do an update to 4 products and i triad to use apsona for this job, but again my site is down, and apsona gives me an error that server not responding, this is second time in a row that i get a problem with my site if i use apsona to do any updateds, since the last time i have only used zen-cart admin, and it all works well, now its all down again just by trying to do anything in apsona.
since my other site still is up and working, tells me that it has to be something with the db tables for this site, since its not able to load anything from them, are you sure there is nothing in apsona that can block or lock down any of the tables? so my webserver and mysql is able to ready from it?

Hi,
I have exported products, customers and manufacturers from one source db and they imported correctly into a target db which is the same tabale setup as the source.
I exported order and they also imported correctly however the $ amount is missing.
I figured that I had to also import ordered_products which looked like it had the $ amount in it. It exported fine but when I came to import it, there was no 'import' option just one where I had to use a Filetr system.
I'm sorry but I am so lost at this point.
Summary is.. how can I export complete order ionformation and import it completely?

Not sure I understand. Categories can be imported and updated via ShopAdmin, and have been for a while now. Perhaps you're alluding to something else?

I don't want to go thru all my descriptions and have to begin each one with something other than a quotation mark.

RedSpinnaker - I'm afraid I still don't understand. The name and description fields of the category are both stored in the categories_description table, and of course ShopAdmin supports that because it lets you import data into categories.

Ah I see. That post is rather out of date - over a year old now. ShopAdmin has come a long way since then. It certainly supports imports and bulk updates of categories now.

I can' tell you how much of a time saver this is and so easy to use.
I was lazy in doing my metatags so decided it was time to clean up shop
Let's say you had the same metatags description on all your products it would take ....mmmm 5 seconds to get all your products populated. I'm doing mine by category, with a different metatag description for those. I'm switching my sizes from the description area to the model areas. Easy...place 0 for the description and it empties it and then add the size to the model area and pouff...it's done.
Every one should have this that runs Zen Cart...:clap:
And the support....GREAT. ...as it is on here too...just a little slower:blush:

As for the attribute prices: I wonder if you're using the stock-by-attribute add-on? Unfortunately that add-on is rather difficult to support, because of the non-standard way in which it stores table keys in the database. It will take a good bit of work on our part, so it hasn't been prioritized very high.

I installed the admin-profiles-1.1.1 addon to my database and after discovered I now get the following error an time I try to do something in admin:
1064 You have an error in your SQL syntax; check the manual that corresponds to your MySQL server version for the right syntax to use near 'apsona_index');'' at line 1
in:
[SELECT id FROM admin_files WHERE page = '#" title="Apsona ShopAdmin - opens in new window" onclick="apsona_showPopup('apsona_index');']
If you were entering information, press the BACK button in your browser and re-check the information you had entered to be sure you left no blank fields.
Looking at the install sql I noticed that it drops the 'admin_files' table and then re-creates the 'admin_files' table using hard coded (assumed) data rather than using the data that was originally in the table - bad sql.
Since I was a silly boy and only backed up the files rather than the database, please could someone check their 'admin_files' table and let me know what 'Apsona ShopAdmin' data I am missing and need to put back in place.

Hi Jill,
The problem with supporting stock-by-attributes is the way it stores comma-separated ID values in a database field. It's a rather non-standard way to do it, and it would take quite a bit of effort to support it within ShopAdmin. That's why we haven't pursued it.
As for your question about the report: Can you not create an ordered-product report that contains the fields you need? If the fields you need are not among those of ordered-product, ordered-product-attribute and manufacturer, then what you're saying is true, you can't create such a report from within ShopAdmin.

Thanks - that is what I thought! But since you guys seem to work magic I figured I would give it a shot! This client has very specific needs which I am now finding Zencart cannot handle.....I hope you guys look into adding some type of stock inventory for options feature....there is just nothing out there and I am sure people would PAY for that!!!! I know I would!!!! :-)

when I download a product via Apsona, when I have categories and 2 sub-categories, Apsona shows the product in both category and master category fields as:

A quick question.
After installing Apsona, when I go into admin and click on Apsona link under the Tools menu, a new blank white window opens up (no error messages) and I get redirected to admin login page. This happen all the time, its a constant loop.
How can I resolve this issue?

One possibility is that you have slashes after your site name. Open up the file includes/configure.php in your admin folder and look for the lines that looks like

It's very unlikely to be an Apsona issue, because we haven't made any changes recently. Is there any change on your hosting side? Have they reduced the memory you have available on your host, perhaps? How many products to you have in your database?

I tried to Export anyways (out of helplessness..) --> IT EXPORTED THE RIGHT RESULTS!!!!!! HURREY!!!!!!!

I installed ShopAdmin yesterday, it was fast, and it immediately showed results, however today while I was doing a simple search, for a product name, my account got suspended, due to this simple search!
I sent a support ticket to your support department, and I am waiting for an answer.
It's critical for me to know if I can work with simple searches without overloading the shared host account I have.
These days we are getting little or no conversions, therefore we can't afford a dedicated server due to the fixed costs.
Does it work fine in a shared environment? I have over 23,000 products would that be the cause?
