Hmmm, well I'm still working through this, but thought I'd ask here in case anyone else had come across this.
I have Sales Tax turned on in QB. I have 3 sales tax codes, in state tax, out of state tax, and p/u tax. Configuration in QBI gives only one option for entering Sales Tax info. My orders are importing w/ the correct figures, but the sales tax codes are always the one that is entered in QBI.
I only have one Sales Tax setup in Zen Cart, in state tax. By default, everyone else is not charged sales tax.
If I setup a 0% Out of State Sales Tax in Zen Cart will my sales tax codes import correctly? I don't see how since configuration is only asking for values for one. Or will configuration then ask me for 2?
I would just test this out, but I have a lot of orders ready to export. I really want to iron out the bugs in my configuration before I do my next export.
Probably not related, but, of note, I am using one default customer.

No it did not and when I had inside sale in my store it follow the last number I got from Zen
What I did for now until I figure it out is clear the section where it say invoice number in QBI and I use the P.O number in quick book for this number,

In regard the sales Tax , I use 1 sales tax in both so I don’t have any issue with this one
Now an issue I don’t know how to handle is something you should know in advance
First make sure you back up your quick book before you do any import
Than you can go and test it while changing the configuration,
My problem now is I do have category in quick book, and I could not figure out how the item I import will use the item in my category, what it dose he create me all new list of item
If any one had that issue with solution please post it here, if I get it solve I post it too

I'm not sure that I am understanding your problem. I originally thought that you were saying that you have a new order in Zen Cart, but QBI shows that there are zero orders to export. Is this correct?

That was from April 23rd , don’t remember what I done , but it is all ok now, as I told you earlier I made backup and I kept testing and changing the configuration and testing again and again that the way I made it that far :smile:
Was kind busy with other thinks, but soon I go back of playing with it more, I am sure I get it to work even better

Sorry for the delay. Actually, for some reason the post notifications did not get to me (maybe they got automatically deleted as spam, as I have pretty aggressive filtering set up due to getting about 1000 spams a day), and I forgot to check the board here. I am around and answering QBI questions every day, so if I forget to check the Zen Cart board you can also reach me on the QBI forum at www.libermansound.com/qbi and by phone and email (these are in the QBI manual).
It is correct, on non-taxable orders you will see your state sales tax district on the order, even though the tax amount is zero and the customer is correctly marked as non-taxable. There is currently no way around that, as QB requires a taxing district to be on that line if sales tax is globally turned on in QB, even for non-taxable customers.
Currently, QBI can only support one tax district. In QBI 4.0, which I am working on, I plan to add support for multiple tax districts. In this case, you'd be able to make one for No Tax.

The instructions for handling this are explained in the QBI manual. In the QBI config, leave "Invoice number:" blank and for "Invoice/Sales Receipt 'PO Number': put %I. But read the manual to understand this better.

I don't quite understand the question. You can set the class in QBI, but it is the same for all items.

If you mean the Customer Type, yes this can be set in the QBI configuration. It would be the same for all customers though. Maybe in the future I will add a feature to flow through the Customer Group if you have this mod.

All products must already exist in Quickbooks before you import orders. You can do this by using the QBI matching feature, or by having identical products in both Zen Cart and in QB. If your products are not yet set up in Quickbooks, use the QBI Products export to add the products to QB. Doing this will result in a perfect set-up with all the attributes set up correctly as sub-items.
If you import an order into QB that contains an item that doesn't exist in QB. it will be created as a Service. QB can not properly create new items "on the fly."

Is that mean i can't use QBI with my QuickBooks, or their is a way to make it work

But, as far as QB knows, Tools:6700051245 and 6700051245 are two completely different items. They are not identical.

Yes, there is no problem using QBI. You need to use the matching feature in QBI. Please read the QBI Configuration and User Manual for complete instructions on using this feature.

this is a spectacular mod - thank you SO much!
the only issue i am having at this time is in regards to FedEx modules. For some reason I can't seem to get it working with FedEx.. the IIF file keeps saying "Discount and Fee matching not set up" on all orders that ship via FedEx. FedEx does not show up in the matching area.. so I took the advice adam had posted a while back regarding adding them to the database, but I guess I must have done something wrong while adding them which isn't allowing them to work. Any ideas?
quick update:
FedEx appears now on the match screen (since i put it into the database) -- however it appears different than it does in the shopping cart. It shows FedEx (2Day), when in fact it shows up as FedEx 2Day in the cart. Slight problem there.. I'm assuming thats why its not recognizing it in the iif generation process.
Also, which account do I link a coupon to? I'm very new to quickbooks (just installed yesterday) so I'm still getting my head around a lot of this accounting stuff.. any help would be greatly appreciated. Thanks!

I figured out the FedEx problem and added in a coupon as well going to the "Sales Discounts" account for right now.. sounds like the right place for it :). Everything is working great.. thanks again for a great contribution!

i think i'm in a bit of a different position than the rest, as we really don't depend on quickbooks at this time...
we want too... but have avoided it, since we'd have to copy all the 1000s of customers and products over to quickbooks...
Will this mod let me push my customers/orders/products from zencart to quickbooks?
how do i do this...?
i read all the doc's and such, but it's all on how to set up QBI, and nothing on how to use it... is there a user-guide floating around out there, in one form or another?

its actually really easy once you finish configuring it :). Under Customers is a link for Quickbooks Import QBI (or something like that). Click that, then click "Create IIF".. and you will be brought to a screen with about 10 options. Most of the options are self explanatory.. such as new orders, previous orders, etc.. theres about a half page of instructions in the same manual you used to configure it. basically all you do is download the file, and then in quickbooks import it (file -> utilities -> import -> iif files).. and it should import properly assuming its configured right

Wow I started reading the previous thread about this project from the beginning, got to the end of that and was like "WOO now what? Is it released?" then I found this "extention" and was like SWEET!!! it's released! my question is:
Does this work like the thing QB is selling or promoting where you have to get the specific hosting and use a specific cart?
I got a guy that got QB Pro and the Retail POS thing and wants to synchronize his store inventory with his QB and a shopping cart on his website as well as synchronize the orders from the shopping cart to his QB... Basically he wants to intergrate everything into QB so he don't have to double up on data entry and time consuming crap like that. Will this do that for him?

The other software you need is Quickbooks (not QB Simple Start though) since the purpose of QBI is to automate importation of Zen Cart orders into QB. Other than that, and Zen Cart, nothing is needed.
The message that products are missing model names is because all products must have something in the model field in order for QBI to recognize them. I might be mistaken, but I believe that a product without anything in the model field will simply result in a blank line in any order containing that product, which would make the order out of balance when you try to import it.
I'm sure that Adam will be along to help you w/ your error at some point. Sorry I cannot assist there.

Please advise - back in August 2006 we installed this mod and it placed all our shipped orders with a status of processing in the Zencart Admin control panel. We have not been able to get them out of processing even though we used the QBI configure to reset in this manner:
Control Panel > Customers > QBI > Configure >
Orders:
Import orders with status: Processing
Update status:
Change CC order status to: Shipped
Change check/mo status to: Updated
Update
What is to be done?

The download of QBI available here in the contributions section works with Zen Cart only. QBI is also available for some other related un-named carts (I don't think I'm allowed to talk about them here). It does not work with the carts that QB lists on their site, that include built-in integration. From what I can tell from the information these carts provide, the integration that QBI offers is far more extensive, automated, and complete than these other solutions.

You have selected the country as UK on the QBI Configuration page. That file does not exists -- currently, you can only set it to US. Just correct this and click Save to update the configuration, and all should work! I had anticipated adding a UK module to version 3.x, but haven't. Quickbooks UK compatibility will be in QBI 4, which I hope to have ready in a couple of months.
You need to make sure to fill in the Model field on all your products. Open each product in your Zen Cart admin and add model numbers where they are missing.

Hi,
The setting in QBI will affect all future orders that you import with QBI. It will not change the status of orders that you have previously imported. You'll probably have to change each one manually.

I don't really get it, however.
These were all the orders in zencart previous to installing QBI. It happened on installation. It has not happened to any orders since. Would the zen team know how to fix it?

QBI does not change the status of any existing orders - it has no way to do this. It only changes the status of orders that you import, according to the setting in the QBI configuration. There must be something else that caused this.
If you need to change the status of a large number of previous orders to Delivered, you can run the following SQL command from PHPMyAdmin in you website control panel, where xx is the lowest order id and yy is the highest order id. Make sure to backup your MySQL database beforehand, and get someone to help you or do it for you if you need to.
UPDATE orders SET orders_status=3 WHERE orders_id >= xx AND orders_id<=yy

It looks like you didn't copy the QBI file admin/includes/qbi_app_top.php to your server, or it got corrupted in the transfer.

I've got almost everything setup with QBI and Quickbooks, but am having a problem matching with shipping. I've read the entire manual, and haven't found my solution. Very nice manual by the way.
I use the USPS shipping module and allow First Class Package and Priority. In Quickbooks, I only have one shipping method and that is US Mail.
1) I see USPS Priority mail in the shopping cart methods and can match that with US Mail. However, I don't see a USPS First Class Package method. So when people select USPS First Class Package, what will that match up with?
2) Why are all the Shopping Cart methods showing up (UPS, walk-in, table, etc...) in the list when the only one I have installed is the USPS module?
I really appreciate all the time and effort that you've put into this. When I get everything working, I'd gladly donate to keep your efforts going.

The USPS shipping methods do not match correctly due to inconsistencies in the that shipping module. Since so few people use USPS, I haven't resolved this, but I will look at it.
QBI finds and shows all the shipping methods that are available, even if they are not installed.

The invoice or sales order will say "Method not found" under "Shipping Method."

you can also manually add in USPS First Class to the database in the format it appears on the receipt.. there was a post probably about 15 pages back talking about how to add FedEx or other carriers in.. you can follow the same steps and add in first class :)

Dddaaaannnnggggg!!! This one Really, really long post!!!
I just can't make it through and I am not finding the answer I was looking for...
I am relatively new to ZenCart and I have a wine shop up and running for my sister and bro-in-law. They plan on opening a brick and mortar store in the very near future and has purchased Quickbooks POS software/hardware.
What we want to do is be able to download orders from ZenCart into Quickbooks, Upload products from Quickbooks to ZenCart and update inventory in both Quickbooks and ZenCart when orders are placed in either location.
Will the QBI do all this? We are looking at the T-Hub product, but would prefer not pay $200-$600 if we do not have to (but we will if it's a better interface between the two).
We realize that we may have to build a new site as so the products match up and we are not totally opposed to using a different cart if integration is easier for them.
I really appreciate all the posts on the ZenCart Forums. Thanks for all your help and keep up the good work Adam and everyone else contributing to this great product!

Unless Adam has made a change that I'm unaware of you can't sent inventory amounts from QB to Zen Cart. One option that may work, (I've played with it but not totally worked it out) is to export your inventory quantity from QB to an Excel spread sheet. Then change the headers as appropriate and upload the result to Zen with Easy Populate. After you do it a few times, it should only take you a few minutes to do the whole process. This could easily be a end of day operation. You'll need the paid version of Easy Populate to handle attributes though. It's not that expensive.
Of course any orders placed in the store and imported into QB would automatically update the inventory correctly in QB.
Adam has indicated some time back that he was working on changes to a future release of QBI that could update inventory quantities in Zen, but I have no idea when that will be available, or if it'll be in the next release. I do know that's a common request so I expect he'll get it as soon as he can. He's got a lot of request and can't possibly do them all at once. :)
Be careful of some of the after market options. Some of them are famous for selling you a $600.00 package with all kinds of bells and whistles, then telling you how much more it'll cost to integrate it or something like that. You end up with a lot of hidden costs you weren't prepared for.
The easy populate option I mentioned above should hold you over for a while.

I am busy adding features to the development version of QBI, and inventory updating from QB to Zen Cart hasn't yet been added but is definitely on the list for QBI 4. It will be ready in a few months -- I'll give a more accurate eta when I get closer.

So I think I have everything set up correct. Setup is done, match is done, config is done. It creates the IIF file, and from not knowing much about how it should look, it looks fine. It imports without error, and all the orders and customer information is correct. However, when I look at the invoices, the product information is blank with zero charge. And following that, inventory isn't deducted, no sales tax, etc...

OK...I thought I had this all set up correctly. However, I now notice that all my imported orders are showing up with a balance due. I use paypal for payments, so all orders are paid at time of placing an order. Soo...the total sales is showing up in Accounts Receivable, instead of Merchandise sales. I'm not sure what option to change, as I've read the manual and thought I had it set up correctly.

I found an issue with this mod.. though I'm not sure if it applies to everyone or just myself.
I charge sales tax on shipping.. so I checked off the box in the configure area. Shipping is taxable only when in Texas (where the business resides).. however this mod is marking shipping taxable on ALL orders. Quickbooks is still accepting the files but its throwing off my tax report by really beefing up the "taxable sales".. so numbers aren't matching up. A quick look at the IIF file created shows that even though the item was marked N for Not Taxable.. the Shipping charge is always Y. Can the same logic for the product be applied for shipping charges?
I haven't taken a look at the file yet that controls that (as its pretty late here, and I'm going through all previous orders and fixing this on the sales receipt) but any help would be nice. Thanks!

It looks like you have found a bug! In 2-1/2 years of QBI, it has never come up, probably because shipping is rarely taxed.

In setup, I have three payment types:
Cash - Not Prepaid
Check - Not Prepaid
Paypal - Paid w Paypal
In config, it is set up to import as sales receipt.
I'm using Paypal Express Checkout, where they go to the paypal site to complete the order.
I'm not sure what you mean when you say to make sure the payment type is matched in Match:Shipping. I don't see anything there that says Paypal.

I seem to be having a matching problem. In Zen I have a item 5280a-gtff with one attribute of large. In QB I have a group 5280al-gtfc which is a shirt (inventory item) and printed image (service item) Zen cart and QB are properly matched and I've verified that the correct item numbers exist in both QB and Zen. However, when I downloaded the iif from QBI to QB, it bypassed the match and created a new service item in QB using the store code instead of matching. It also showed up as a invoice instead of a sales receipt like it should have.
Any ideas? I've worked weeks to get this store put together and now that the store is live I've got a growing mess on my hands with every sale. HELP!

I totally understand about the growing mess, as I have the same thing happening. The great thing is that QBI looks to be a HUGE time savings once I get it to work. My last big hurdle is the importing as invoices (instead of sales reciepts) as yours. What are you using to process payments?

I am using the enterprise edition of QuickBooks. I installed the mod, configured it for our system, and imported the iff file. The orders were transfered to QB, except they lacked invoice numbers. I looked at the instructions again and made sure the configuration line for invoice number was left blank while I assigned Invoice/Sales Receipt "PO Number" to WEB- %I. Most of our orders are placed outside of the website and it is essential that the web orders that are imported into QB use the sequential QB invoice number. Can anyone help me figure this one out?

I'm trying to get this all set up, but I can't seem to get the inventory information working. The iif shows the proper inventory levels when I open it in a ext editor, but when I import the iif into QB, it still says I have 0 of everything. I'm using 2007 for the Mac, if that makes a difference.

I don't believe inventory syncing is an option in this mod yet - you will need to input your inventory numbers in quickbooks. QBI will subtract from that inventory when you receive an order, but it won't sync numbers

First, are you using Invoices or Sales Receipts? If you are using Invoices as you say, then I will assume that you do not have a payment gateway and do not process payments online -- otherwise, you should be using Sales Receipts.
You can not create Invoice numbers AND use the sequential QB invoice number - they are mutually exclusive options, as it can't be both at once. If you use Sales Receipts, then you have to use the sequential QB numbers. In either case, the Zen Cart order number goes into the PO Number field, which you can place on the Invoice or Sales Receipt using the QB templates.

QBI 3.x does not actually transfer the inventory numbers into QB, even though they are present in the iif file, because QB ignores them. To do that, QBI would also have to also create an inventory adjustment transaction to keep your accounting straight. You will need to adjust your starting inventories in Quickbooks yourself, by creating inventory adjustments or POs. I am looking at adding this ability to QBI 4.x.

I tried it and it didn't work. It does show up as a sales receipt this time, but it still doesn't follow the matching. It is creating a service item using the stores item code. Also, my shipping method is not showing up. The test item I used has no dash, underscore, or space either in QB or QBI.
I have been through the matching of products, shipping and payment numerous times. Everything looks good to me. I can't for the life of me figure it out.

Adam, after a little more experimenting with item/attribute combinations, it would seem that if the store item does not have an attribute, it can go through to QB with no problems. If the store item does have an attribute then QBI is ignoring the match settings and creating a service item in my items list instead.

I have spent most of the day working on this and think that I may have found a bug in QBI.
If I have a Zen product with an attribute and match it to a group in QB it does not match and creates a service item in QB instead, putting it onto a invoice and not a sales receipt.
If I take exactly the same Zen product with the same attribute and match it to an item:subitem in QB it goes through exactly as it should.
An Zen product with no attribute will also match to a group in QB. The problem of not matching only happens when I match a product with an attribute to a group in QB.
I think there may be a problem with QBI matching zen products with an attribute to QB groups.
Unfortunately, almost my entire QB inventory has to be based on groups in order to track inventory.
Any help on this matter would be very greatly appreciated.

Thanks for tracking this down. I have completely rewritten the matching system in the latest development version to allow for matching Zen products with many attributes (and not just one, as in the current version). I will check if this bug still exists, but likely it works properly now. This feature is going to be part of QBI 4 and probably will not released before then, but I will test this issue and get back to you.

Adam, I'm not sure if you might have misunderstood me. I am not using multiple attributes. I am only using one attribute on my product. I know that QBI can't work with multiple attributes yet, but I was surprised to find the problem with just one attribute.

I've downloaded the Innovative module to attempt the Quickbooks Importer w/ their merchant service... It has a /catalog/ before the /includes/ with no /admin/ folder. Do I put this into the admin folder, configure it, then copy to the regular /includes/ folder?

Most of my inventory is in groups in QB. I had hoped that there was a simple code change to fix the current version with the item - attribute = group matching problem. Guess I'll wait for the new version. I know you can't give a spacific date, but do you have any idea on what time frame we're looking at?

QBI vs T-Hub

I am a newbie at this, so be gentle with me. :smile:
What I am searching for is everyone (anyone's) opinion on Adam's QBI vs paying $400 for the T-Hub solution from Atandra (http://www.atandra.com/prod_thub_compare.htm). While the QBI looks well done, it might not have all the functionality (I think) as T-hub???
While I do not want to through my money away, I do not mind paying a little dough if it makes life better / easier. I am especially interested in batch credit card processing via QB, data import from ZenCart, Shipping API integration, supporting mutiple e-commerce storefronts (e-bay, yahoo, etc)... but most importantly, I want something that works EASILY (ie, no headaches). Any opinions on how close Adam's QBI vs T-Hubs version is to implement / use would be greatly appreciated.
Also, if there are any integration vendors experienced in all of this out there reading this, they may contact me at [email protected] (I should make a decision on this by Aug 1st 2007, so if you read this post after that, then there will be no need to reply).

Quickbooks already has credit card processing in it (I'd recommend processing credit through your store instead) and shipping through UPS or FedEx. You can purchase a multi store version of QB or simply use classes for each store in the regular versions of QB. QBI will import oreders from your Zen store with no problems with the exception of QB groups which will be taken care of in the next version. It will not import orders from Ebay or Yahoo though. The upcomming version of QBI will also update inventory quanity in Zen. T-hub only does that with Yahoo (additional fee may be required).

Not something that the adverage user can do. In the case of the mall stores (eBay, Yahoo, etc) you'd have to get their IT people to install whatever changes are required into the site. What's your definition of "affordiable"?? :) The shipping with T-Hub is via ShipLogic, Atandra’s partner. I believe that is at an aditional cost. They tell you it can do all these things, but what they don't tell you is the extra cost of the modules to get it to do those things or the monthly fees.

I use it many time and it always show , until yesterday, now I try again and it is same think, I do see all the update and new item. I did not do any change to my QBI or even touch the configuration section from the time I install it

I did speak with t-hubs and it sounds like they are not all I had hoped for. I had hoped that they would also form a layer of software between zencart and the QuickBooks merchant service provider. I can ask a zen guru to download the latest SDK from QuickBooks Merchant Services (v 6.0) and go at it to make the two speak.... or (as I was hoping) I can find some person or product who has done this particular integration before and the whole zen-to-QB_Merchant_Service implementation would be a whole lot easier (and cheaper).
Another option is to stick to a tried and true zencart compatible MS vendor like LinkPoint and use the QBI to download the data into QB's Acct Software. But, then we will have to do our batch credit card processing (and maintain our cards) at the server level, which has it own set of issues.
Hummmm.... I guess life is about making decisions.

The current version of QBI is excellient with Zen and the upcomming version promises to be even better. After a brief stop by T-Hub web site, I left with more questions than I started out with. Lots of red flags for me.

QBI is currently the result of about 1,000 hours of work. It is not likely that you could pay someone to make something just for you at any affordable price and with the feature set that QBI has.
Currently the best way to integrate QBI is to use a payment gateway like authorize.net that handles the card payment directly in Zen Cart. If you wish to process credit cards manually and not in real-time, you should be able to set it up to do an authorization only and then capture it later. For most people, charging in real-time is the best way, unless you have products that you can not ship immediately.
If you want to charge cards from within QB, QBI can not currently do that because the iif file import format does not support credit card numbers. QBI 4.x will support qbXML and will make this possible. However, if you do it this way, you are going to have to call your customers each time their card gets declined. With a real-time online system, the customer knows immediately and can make corrections or use another card.

As far as a comparison with T-HUB, I believe from looking at their website that QBI has many more features. But some time in the future I will install their trial version so that I can make a feature comparison chart.

Hi All,
I am in the middle of moving from California to Oregon, selling one house and buying another, and packing. So, I apologize for any delays in QBI support during this time. It also means some delay in completion of QBI 4.x, but I have made a lot of progress on it and will devote a lot of hours to it as soon as I can.

In the Configuration and User Manual, in the Set up section (13a), it states to select "Paid w PayPal" when using PayPal IPN. I use PPEC (PayPal Express Checkout). Will QBI work with both, or is that my problem with getting orders to import as receipts instead of invoices?

Make sure to look at my fix for PayPal on message page 49 of this thread. I haven't tested with PayPal Express Checkout yet. If the PayPal method you use is invisible to the customer, choose "Paid Online" instead of "Paid w PayPal." "Paid with PayPal" is only if your customer has to go off-site to the PayPal site to pay.

Do you have an idea when this release will occur? I'm setting up a new store, and multiple attributes are a major feature of my sales process.

The fix on page 49 of this thread did the job, as we discussed. However, something weird is happening as some of the orders are missing. This is the case before the iif is ever downloaded. For instance, in the QBI download section it says:
Quan: 336
No.: 6 to 703
However, there are 697 orders. It just skips some. And the issue shows up in the iif file as well. At one point it skips from order 420 to 506, and many other similar examples. Any idea on why it would do this?

You can not create Invoice numbers AND use the sequential QB invoice number - they are mutually exclusive options, as it can't be both at once. If you use Sales Receipts, then you have to use the sequential QB numbers. In either case, the Zen Cart order number goes into the PO Number field, which you can place on the Invoice or Sales Receipt using the QB templates.

Thank you for replying, I understand what you are saying, but I may need clarification on how to remedy this for our setup.
Our QuickBooks system uses invoices, and our site does not have payment processing. Currently, most of our orders are placed by fax and phone.
If the quickbooks sequential invoice number cannot be used with my setup, when the orders are imported do I have to manually enter the invoice number in quickbooks? I do not want to have random invoice numbers with web codes attached to them, but if that is my only option I can deal with it.
