Is anyone using the version of this from the downloads section successfully. I can not register it, there isnt a place I can find to register it and therefore I can not go any further. I just spent money on QB being advised on here that I could use it zc and now I find I have to spend more money to have it maybe work???
Some one please help, I am really getting frustrated with this!

I have not gotten the registration system set up. Not registering your copy in no way affects its operation.

You do not have to spend more money. The paid version has many improvements, but the free version works fine for many people. It depends on the features, code quality, ease of installation, and support level that you want.

Please have some patience. I usually reply to forum messages in the evening.
If you open the qbi_orders.iif file in Excel, you will see a section for each order. The TRANS line will have the order total. The SPL lines will have all the line items -- the total of all the line items is the inverse of the total.
The free shipping should not need to be set up. ot_shipping is added to all orders if it exists. I suspect that either you did not do Setup and Match Discounts, or the discount amount is being added instead of being subtracted (actually. opposite in the iif because all the line items are inverse). If an item is missing, then you may have the Product Model missing for that item. All items must have the Product Model field filled in.

Thanks for your reply, sorry I am seeing double because I can't get this to work...
I am wondering if something did not go right when I installed it because when I go to set up: discounts and fees, it just says I need to register (hence why I thought I had to pay.) I will reread the manual tomorrow, but am I missing something? I usually am pretty good at this kind of stuff.

Setup Discounts and Fees shows your discount and fee items that you have in Quickbooks. If it shows nothing, then it sounds like you have not yet uploaded the lists.iif file into QBI. See the manual for instructions. Once you do Setup Discounts, you need to do Match Discounts.

Thank you Adam, I have decided to not import previous orders due to my mistake of deleting products as I was installing QB!
I have gotten much further, however I am having 2 problems:
When I receive a new order, only some of the time is it showing up as a new order to download in QBI. What am I doing wrong?
Also when I imported my products the first time not all of them imported, so imported them again and they all showed up. However now when I do a backup it errors saying there are multiple matching lists (or something to that effect) I have already gone through and unactivated the duplicated products. what else do I need to do?
Lastly, I currently only have this installed on one of my websites. How can I add my second website without over riding my customers and orders? Also how do I import my products without duplicating some of them yet again (some products are listed on both websites.) Is it better to just set up a different company in QB to avoid these problems? They are both ran under one parent company for taxes.

Check the order status, and the status that you have set in the QBI config for exporting orders.

You should delete any duplicates. But, you really shouldn't have any duplicates, because QB will overwrite a product with the same name.

I don't think this should be a problem, see above.

There shouldn't be a problem as far as QBI is concerned. You can use one of the fields, like REP, to differentiate the sites. I'm not an accountant so I can't answer which way is better for you.

Hi Adam. I've been searching the forum for a solution to my problem. The closest thing I've found was you telling a user named "Swingandamiss" that you'd contact him privately (this was over a year ago). This was a problem with Paypal payments being exported as invoices and not sales receipts. Did you ever solve the problem? If so, can you please publish the solution?

I ask people to contact me privately if their problem would be best solved by the paid version of QBI, they ask a question about the paid version, and/or the level of support they need exceeds what I am willing to do here on the forum.
You should not have a problem with PayPal. Are you using another payment method that is importing as a Sales Receipt?
Make sure "Import payments as" is set to Sales Receipts in the config, that you have done Setup and Match Payments, that the matched QB payment method is set as "Paid with Paypal", and that in the config "Import PayPal orders with status" is set to match the status of your PayPal orders after payment has gone through.
Note that the PayPal feature is only really needed if people go off-site to pay. If you are using the newer PayPal methods that work just like any other payment gateway, then you do not need to use the special PayPal features.

Okay, maybe I am doing something wrong. When I receive an order, before I do anything with it....ie change the status, do I have to export it to qb? I received several orders over the weekend and have already shipped most of them, but now when I go to my create .iif there are 0 new orders and none in the batch either.
What am I doing wrong?
I also have noticed on the orders that I have exported to qb, they are still showing up as an invoice and not as a receipt. I have the config set to sales receipt and the payments set to paid w/ paypal.

Most people export new orders, and then ship from QB. But you can do it either way. If you ship from Zen Cart, then you need to make sure that QBI is set to export new orders with status "Shipped".

I have a "feature request" - I'd like to get this module to work with Quickbooks Online edition. Something that would send each new customer and order to the quickbooks online website so that I can follow the money from end to end so to speak.
Is there any product that does this now?

I can't accept feature requests for the free version of QBI. All improvements are added to the paid version.
Quickbooks Online does not accept iif file imports, so it can't work with QBI. I don't think it will work with XML either, so I don't think it will work with any product.
My impression is that Quickbooks Online is not as full featured as the desktop versions.

That is true that it is not as full featured but for my purposes, the online portion outweighs the features. I'd just like to autopopulate quickbook online so I can reconcile credit card payments with my bank account.

I did everything as described in the manual. When importing list.iff file, i selected "Item List". "Shipping Method List" and "Payment Method List". But there was nothing that looked like "Discounts and Fees" and nothing was mentioned in the manual about this list. What should i select for "Discounts and Fees" ?
On another topic, I use Google Checkout and Authorize.net merchant acount for payment processing. Should i just treat Google Checkout transactions as Paypal in QBI (since Google has special order statuses like "Google Shipped" , etc.)

I did match payments but I think that is where I am doing something wrong. I am using paypal currently as my merchant, I have it set to pay w/ paypal and my paypal payment is not showing as being paid. I have created a new payment method named paypal and set it to payment type "other" in qb....is that right?
My other question is, did I need to go through and match up all of my products???? Please say no, but I am sure I do.....I have 980 on one site and probably 2000 on the other!!!

Long time QBI user here. Up until this point, I've never needed to use atrributes because my products were distinct. That is now changing. I will be selling an item in which you can select one attribute, for example color. In Quickbooks, I have each version of the item (red item, blue item, etc...) as an individual inventory item. I'd like to be able to sell this item as one item on the site, with a user selectable attribute, and not 20 different items. Does QBI support this? I'm currently using version 3.
My other question is in reference to the newer versions of QBI. Currently, I ship with PayPal, mark products shipped in ZC, and download to QB whenever I get a chance (not necessarily when I ship). Will this change?
Also, what does "Special handling for PayPal orders" mean? I use PayPal and authorize.net together.
Adam, this module has made my life so much easier. Glad you're still supporting it.

Can I delete the entries for some or most of the attributes that have nothing to do with cost, i.e. size, color, text entries? QB is giving me an error that I am near my total list amount and I still haven't started putting in my customers.

After much searching (unsuccessfully) I can't figure out how to get QB to populate the sale no. field on its own how it would if you were manually entering transactions. I thought if I left the "Invoice number:" field blank on the configuration that it would, but that doesn't seem to be the case. I do orders online and via phone so I would like the sale no. of the sales receipt to be unique from the order number from Zen Cart.
Any suggestions?
I always accept payment at the time of the sale so I think a sales receipt makes more sense than doing invoices for the phone orders.

Strangely enough it is working correctly (sort of) in my QB Pro for Windows, but not QB for Mac (which is what I was using while testing this).
It is giving a correctly ordered number to each transaction in QB for Windows, but they are out of order. It is putting all of the imported orders first then the test orders I have entered by hand.
For example, this is the current order.
sale no 1: Zen order.
sale no 2: Zen order.
sale no 4: Zen order.
sale no 5: Zen order.
sale no 3: Entered by hand in QB.

I installed QBI recently and have been going through the manual and setting up the configuration. I thought I had everything matched and set up, but on the "create iif" page, the number of New Orders is always 0, even after a new order has been placed. So when I create an iif, of course the iif file that downloads is empty (0 kb file size). It seems to see the Products, New Products & Customers just fine---it's only the orders that aren't showing up.

I had the same problem, try setting your configure in QBI to import orders any status or something like that....if you change the status or the status in configure doesn't match it won't recognize it.

What I really want the mod for is to be able to transfer customers to my quickbooks so I don't have to type all the new information everytime I need to add a new customer and second I would love it to bring over the items they purchased the total and have like an invoice. What I was told, is that QBI only exports customers who have made a purchase. There is a setting down at the very bottom to tell QBI, whether or not to send the info as an Invoice & Payment or as a Sales Receipt. In the book, which he did a very thorough job of putting it together for us, discusses why you would go one way or the other. Trust me, if all of the mods had his thoroughness in instructions, we would all be asking way less questions !!

Sorry, I just got to this subscribtion to see what was new.. My turn I see :smile: In Adam's ZIp file, there is the gamut of files that need to be placed throughout -AND- he has a very extensive manual that walks you through step by step.. If you follow it, you will succeed installing it and matching the files to Quickbooks.
As an FYI, I'm using ZC 1.3.8 + QBI 3.21b + Quickbooks Pro 2007.

I scanned through the manuals For You and found that this is preported to work all versions from Quickbooks Pro 2004-2007 assuredly, maybe earlier than that, but untested.

The Author of the Software does not feel that it is important enough to 'fix' the registration screen for us, by sending out a mod to turn it off, or fix his website to allow us to 'register it' to turn it off ? :frusty:

Use the following SQL command to reset the status.

UPDATE orders SET qbi_imported=0 WHERE orders_id >= 0;
You can replace the "0" with any order number you want. For instance, >= 100 will reset any order 100 or above.

Hello all,
I have an existing zen cart store (www.homesteadersupply.com/store) with almost 800 products, 100 customers, etc... I just bought quickbooks pro 2009 and found out about the QBI tool on a search to see if I could link the two together. As I said, my quick books install is void of data... I've just configured the chart of accounts and set up the company information. Can I import all my zen cart data into Quickbooks at this point or do I have to manually enter everything and get the two sync'd first?
I appreciate any and all help!!! accounting has never been my strong suit.. I'm more of a farming geek... hahahaha

Item List includes discounts and fees. These items must be designated as Discount or Other Charge in QB.

Yes, you can do that. The PayPal setting is so that you can set up different download criteria for a particular payment method. It doesn't have to be PayPal.

Is "Import Payments" set to "Sales Receipt" in the QBI configuration?

You only have to match if the Item Name in QB and the Product Model in Zen Cart are different. Otherwise, QBI and QB would have no way to know what QB item goes with what Zen Cart product. If the Item Name and Product Model are the same, then QBI and QB will see that and no matching is necessary.

Sorry for the delay in answering. I've been really busy and forgot to check the Zen Cart posts (I'm not getting the notification email for some reason).
Yes, QBI is designed to work with attributes. Automatic matching will occur if you use subitems in QB. For example, YourItem with Color attribute value Blue in ZC would be YourItem:Blue in QB.
If you don't want to use subitems, you can use matching. Matching in 3.21 will allow you to match products with one attribute (for example, Color is an attribute. You can have as many Attribute Values (red, green, blue) as you wish). The paid versions of QBI (3.50 and higher) allow you to match products with multiple attributes.

It means that you can set different download criteria for an alternate payment method. It doesn't actually have to be PayPal. For example, if your new Authorize.net orders were status Pending and your new PayPal orders were status Paid, you could set this up. This was mainly intended for the older PayPal method where the customer went off-site. You shouldn't need this feature.

An important concept is the QB can NOT create items or subitems on the fly when an order is imported. The item or subitem MUST already exist in QB.
You can add them manually, or use the Products export feature of QBI. This is beneficial, because it will get the attributes in the correct order. The free version of QBI will create a correct product export file for products with up to two attributes. The paid version will do up to five attributes, and also lets you restrict attributes to the product description if you don't want to have a separate item or subitem for each attribute.

You can delete the items, but QB won't let you do that until you remove them first from your invoices, or change those item lines on the invoices to something else. If you are just testing, then just delete the invoices first and then remove the erroneous products.

QB does not allow the Sale No. field to be populated by QBI. It is set automatically and sequentially by QB. QBI imports the ZC Order No. into the Sale Receipt PO Number field. You can configure your SR template in QB to have that field appear, and rename it what you want. You can also search on it, but remember to search in the PO Number field.

QBI works fine with any version of QB Pro, Premier, or Enterprise. Years 2003 and up are officially supported. It will work with prior years as well, but if your QB is older than 2003 it's time to upgrade!

The matching system in 3.10 will handle Products with one attribute. The matching system for commercial releases 3.50 and greater can handle Products with up to 5 attributes. That's attributes, not attribute values (which are unlimited). So, if you are trying to match Products with more than one attribute in 3.10, it will not work.

Check your setting on the QBI configuration page for "Download orders with status:" If you have it set to "Shipped" for example, and your new orders are "Pending," that would be the reason they aren't being recognized.

When QBI imports orders, the customer account information is imported at the same time. The customer import feature is only to import past customers into Quickbooks and normally is used once or not at all. If invoices are not being created then you may not have finished configuring QBI.

Yes, QBI will let you transfer your products and customers into QB, with these limitations:
The free version 3.10b can create a products list from ZC products with up to two attributes.
The commercial version (currently 3.78) can create a products list from ZC products with up to 5 attributes.
Attributes are like Size and Color, for example.
Attribute values, like Red, Blue, Green are unlimited.
QBI does not import your initial inventory counts from ZC. This is because it would need to know the cost of your products and create a matching Purchase Order transaction so that the ledger balances. I may figure out some way around this for the commercial version in the future.
When you import orders, the inventory count will be correctly incremented. In addition, version 3.78 can periodically re-sync ZC with QB, useful if you have off-line sales.
There are many fields in QB that are different or not in ZC (and vice versa). For this reason, you will still need to go through your 800 products individually in QB to add the purchase cost, account names, description, and initial inventory count. It is still good to export the products from ZC into QB with QBI, because all your products will be set up properly, and all attributes will be set up with the correct hierarchy. This way, you will be able to import orders from ZC into QB without having to do any manual product matching.
Note that your web server may not be able to handle exporting 800 products, especially if you have a lot of attributes. If this happens, you should be able to cure it by increasing the PHP memory allocation (above the default 8K) and the maximum execution time.
Also, make a copy of your company file and work with the copy until you are sure the import is working smoothly.

The free version is still 3.10b and it uses iif.
The current commercial version 3.78 also uses iif.
Version 4.0, when it is available, will make a direct connection using web connect or other method with the QB SDK. I haven't decided yet if I will offer a free simplified version of 4.0 or only the commercial version.

Hi All. QBI is fantastic, but I can't figure out one little annoying problem. I use QBI with paypal payments pro (using paypal as a Credit card gateway in addition to classic paypal payments). Everything imports fine, except for the fact that payments that are marked in paypal's history as "Shopping Cart Payment Received" import fine as "sales receipts", while payments marked as "Express Checkout payment received" always import as invoices.
I've tried a number of different permutations of settings and can't get it to accept the latter type as sales receipts.
Any ideas?

Make sure you have Setup Payments set so that the payment method it is matched to is either Paid Online or Paid w PayPal.
Then, match that PayPal method to the QB method you are using in Match Payments.
If you've done all that right, then sometimes the text for the payment method is spelled slightly differently than is expected in the database. I can tell you how to fix that if that's necessary.
Which PayPal method isn't working? Do you need to use two methods?
One other thing: There is actually no difference between Paid Online and Paid w PayPal, except that it uses alternate download selection criteria. So, if payments through one system return with one order status, and payments through the other return with something else, you can specify that on the Configuration page. The second method doesn't have to be PayPal -- it is just called that because there was a need for it when using PayPal payment methods that took the customer to the PayPal site for payment.

I need to be able to import sales orders; however I realize this is not supported in neither the free nor the commercial version.
(BTW, I tried to contact about the commercial version using your website but I always kept getting an error message, could not post in the forum or use the contact form)
I think the reason for not supporting sales orders is the limitation of the IFF file, correct? Apparently there's no support for this type of transactions, although I read somewhere TRNS SALESORDER might work, but I'm not sure.
I know estimates can be imported with an IFF file, and this could be used as a workaround since an invoice or sales order can be created from an estimate.
I need sales orders for about 30% of my orders because I need to track backorders and orders shipped in parts from various locations.

I may just remove the forum, since its purpose has essentially been replaced by the support ticket system, which is a much better way to solve users' issues.

Yes, it isn't documented, but someone suggested that. I haven't tested it yet.

I would like to ask if you wouldn't mind taking a look at some errors I am getting when I try to run, I did look for a solution in the Zen-Cart

They've been saying that for the last 5 years or so, and it hasn't happened. I think there is still a lot of software out there that uses iif, which is probably why they haven't done so. It is still good with QB 2009.
iif works fine with properly designed software. In some 50,000+ sales or downloads of QBI (Zen, osC, CRE, etc), not one customer has complained of lost data.
Nevertheless, Web Connect is superior and more flexible, and at this point I will be focusing the majority of my development time on integrating it into QBI. I will also be adapting QBI to work with ZC2.0. I need to evaluate if a free version will be offered for 2.0.

I'm not sure what you mean that you got an update, as the free version has not been updated for about two years (the commercial version is frequently updated).
For some reason you are missing a column in one of your QBI tables. I suggest that you make sure that the version you have installed is 3.21b. Then, delete all the tables in your ZC database that begin with qbi_. When you start QBI up the next time, it will reinstall the tables. Any QBI settings you had previously will not of course be saved.
If you have installed the paid version (QBI 3.50+), and are trying to use QBI 3.21b, then yes you will get db errors. You can't try to use two versions of QBI at the same time, as some of the tables are different. If this is the case, then we can continue this discussion in the support section of qbisoftware.com

I completed the installation of the community (3.21b in the Downloads section) version on our 1.3.8 installation and all seems ok. I stepped through the configuration as laid out in the manual and exported all of my products as an .iif file and imported into QB (Premier 2007). Looked good initially but one major issue I see is that the inventory quantity did not get carried over. All quantities are zero in QB even though there are quanties of greater than 1 in ZC. Any ideas of what may be set up incorrectly? I searched the manual and config settings and didn't see anything that might help.
One thing to mention: we use product attributes (and attributes stock) for our sizes. Maybe that is causing issues?
Appreciate any help you can give...

QBI does not transfer over the initial stock quantities. It would need to create a transaction in QB to do that - you can't just add inventory, because the inventory has a value or purchase price that needs to be accounted for in order for QB to keep the books straight. Since Zen Cart doesn't have an item Cost field, there would not be a way to even determine the value of the inventory.
At some point I may think more about how to deal with this. However, note that you are going to need to add item descriptions, cost, preferred vendor, re-order point, etc to each item in QB. So, it is unavoidable anyway that you are going to need to open each item individually in QB. You may also be able to add the inventory at once from the inventory adjustment screen, but you'll need to determine if that is how you want to do it accounting wise.
Once the initial inventory is set, it will decrement properly with each order. Also, this isn't an issue for those who already have items and inventory set up in QB.
If you do off-line sales, the commercial but not the free version of QBI can re-sync the QB and Zen Cart stock levels.

Regarding importing as estimates, it is true that is an extra step, two or three additional clicks, but that sure beats having to create a new sales order copying and pasting 20 items.
BTW, in either the commercial or free version, can one specify how each order should be imported (i.e., as sales receipt, invoice, etc)?

Both versions allow you to import sales paid for online as either Invoice, Invoice and Payment, or Sales Receipt. I can't think of any reason to use anything other than Sales Receipt, but the additional options are provided anyway.
Sales not already paid for, if you allow these payment methods (check, money order, charge CC later, etc), will always import as Invoices.

There are several reasons for using other than sales receipts.
You already mentioned check, money order, charge CC later. We don't charge an order until it's ready to ship, the final charge can be more or less than the original depending on availability or if the customer makes changes.
Need to track backorders. Orders may ship in several parts from one or more locations.
Anyway, another question, is it possible to flag some orders so they are not imported?
The reason for this being sales orders or estimates is not currently supported, when sales orders are needed, we'd need to enter these manually.

I thought I had QBI working correctly, but my matching of products doesn't seem to be working.
Right now matching everything is good except products with attributes (just 1 level of attributes). Payment, shipping, order no, etc... are all being imported correctly.
Any thoughts? I've gone through it several times, but it just keeps bringing products in as a new service item even though the match page shows that it is supposedly matched with the correct product in quickbooks.
In quickbooks I don't have subitems... just part numbers so something like this

1) Make sure that all your products have the Product Model field filled in.
2) Make sure that you do not have a semi-colon in the attribute itself, because QB uses that to create sub-items and that will confuse it.
3) Do you get 03-0220:Black for example as a service in QB?
4) What version of ZC are you using?
5) Try 1 and 2 and then let me know if it is still a problem.

I can't even begin to figure out where to start.
I somehow managed to import all of my customers to quickbooks, and my items, but can't import orders.
As I've clearly done something wrong, I deleted my company profile and started a fresh one this morning.
Shipping configuration: Until just now I had no idea what an "other charge" is because I'm new to Quickbooks. I was lucky enough to stumble on the answer when I was trying to figure out what to put in the Item income account field, since I don't have any items currently in Quickbooks to look at! So, I entered Parts-Inc, as that's what's entered in the manual. Hopefully that will work.
For anyone else who is similarly confused by this:
Lists -> item list -> new -> select "other charge"
Anyways, do I need to configure a shipping charge? Probably not, right? But it doesn't say that anywhere. I did, however, see you mention elsewhere that fields in red NEED to be filled out, thus my confusion. The other red fields explained in the Configuration and User manual say things like (required only if ...), the shipping area has no such addition. So, I guess I'll make this item and just set it to 0%, since I don't have a shipping and handling charge.
I don't have any items in Quickbooks, since I'm brand new to the program. Should I download an item list iif from zen cart, then re-upload it back to zen cart in order to have a list to match to?
Up until yesterday, I didn't have model numbers on my items in zen cart. Is this going to cause an issue when I attempt to import to Quickbooks? Will I be able to see my orders as they're meant to be seen, or will everything before yesterday be "broken" once everything's done?

I just tried to import orders again, and got:
"The transaction is not in balance. Make sure the amounts in the detail area on the form for this transaction equal the amount at the top of the form."
This is the same error I received last time.
Sadly, I have seen other people having this issue, and, even sadder still, reading the responses to these issues hasn't provided any clear answers thus far, at least for me, as I'm painfully new at this a perhaps a bit less knowledgeable than the average person using this module. I'll keep digging...

It seems the most thorough advice given on this topic can be found below:
1) Sales tax is not set up properly in QBI and does not exactly match the settings in QB, or you are using Sales tax groups (not ok, due to a bug in QB),
2) You have discount coupons or low order fees and you have not set them up in QBI.
If you open the downloaded iif file in Excel, you will be able to view the data for each order and you'll instantly see what is missing or calculated wrong.
I don't use sales tax at all. It's disabled both in Quickbooks and QBI. I don't use discount coupons or low order fees, either.

Again, more of the same found in the OScommerce forums:
This is likely due to a sales tax issue. Make sure that sales tax is turned on in QBI, that the sales tax fields exactly match what is in QB for tax name and agency, and that the percentage is exactly the same. Don't put the percent sign in, just the number (ie 8.75% shoud just be 8.75) (if this is being a problem I will add code that automatically strips out the % sign).
The other reason for the problem could be a gift certificate or low order fee. This is not yet supported, but I hope to add them within the next week or so.

I've been staring at this IIF for about 30 minutes now, and I have no idea what's wrong with it. I know you've said elsewhere that I should be able to see what's wrong almost immediately, but that doesn't seem to be the case here.

OK, it seems a good number of orders imported successfully, with a large number being omitted due to the aforementioned error.
Still looking at the IIF, I actually found a cell that said "Discount and Fee matching not set up".
So clearly something is amiss.
Also, importing orders caused a list of all of the items I already had in QB to load again, except these new ones are marked as Service.

It also seems I can't delete these new items, since they're the ones bonded with the orders that did manage to process, instead of the ones marked as inventory. Why is it doing that?
I'm giving up for now. I'll load a backup that will take me back to right after I imported customers and products and wait for advice.

It appears the first dozen or so failed items are items I no longer have on the shop. No wonder...
Now my problem becomes much easier. I need to figure out how to show in the invoice what shipping method they purchased and indicate what has shipped already.

I should also mention that getting shipping to work correctly is a bit of a nightmare currently. Since I don't know how to pull exact names from the zen cart code for my shipping options, (and I have a lot of options,) I'll have to get it to work by doing matches...
And even that presents a problem. Nobody has explained how to add a shipping option to Quickbooks. Even Google falls short here.
So, again, for the people out there who are having/will have the same problem in the future:
Go to
lists -> customer and vendor profile lists -> ship via
From there you can add shipping methods such as USPS priority, USPS express mail, etc., which you can then use to recompile that iif. Send it on over to QBI, then match them up.

Crap. Populating shipping cart methods doesn't provide options for international types through USPS. I suppose it's not an issue since you can know if it's international by simply looking at the address provided on the invoice, but still.

How do I configure QBI so that imported invoices follow the sequential numbering for invoices in quckbooks?
I tried leaving the field blank in QBI configuration, but the invoice number just appears blank in quickbooks too.
I would like for invoices to have the same behaviour as sales receipts regarding the sequential numbering.
Is this possible?
Another issue I've seen is that international shipping methods for USPS are not avaible in QBI configuration for matching.

1) You shouldn't need to use Invoices if you accept payment online through a gateway. If you accept cash or process credit cards manually then you would.
2) In QB, the Invoice Number and Sales Receipt Number have different behavior. The Invoice number field will get replaced by what is in the QBI config when you import an Invoice, so if you leave it blank it will be blank. On the other hand, the Sales Receipt number is automatically incremented in QB and can not be set by QBI.
3) If you want to import the ZC order number, it will appear in the Check Number or PO Number field in the Invoice or Sales Receipt respectively (with Invoice/Sales Receipt 'PO Number': set to %I in the QBI config). You may need to use the Form Designer in QB to make these fields show.
4) You can set Invoice number: to %I, which will bring the Zen Cart order number in. But then you can't do off-line sales, because QB will start numbering by adding 1 to the last number entered, so after ZC order 1000 would be off-line order 1001. Now, import ZC order 1001 and you have duplicate numbers.

QBI automatically detects the shipping methods, based on the shipping modules you have. Unfortunately, these modules are not implemented consistently, and sometimes QBI can't automatically find all the methods (they can be added manually if necessary). But, the fact that you see domestic options and not international makes me think that this isn't the issue. Does the USPS module you are using have international options, and are they enabled?

The USPS module does have international options enabled, for domestic and international it has enabled 1st-class, priority and express. However, only the domestic option show up for matching. This is not much of an issue since all international orders are reviewed manually and we can easily change it in QB.
The issue I see is with the invoice numbering as I do off-line orders and I have to import all orders as invoices because CC is processed manually. This is another limitation of the .IFF format correct, will sequential number of invoices work with WebConnect and the next version of QBI?
Unfortunately, as it is right now, I don't neither the free nor the commercial versions work for my needs. :(

Sorry, Adam. It turns out I fixed most of my problems through trial and error, and was left with just one question: how to handle shipping in Quickbooks in an organized manner.
14 posts, partially on account of a complete lack of activity in the thread from anyone but myself for approx. 24 hours, partially from my utter confusion at configuration of your module, and partially due to the 7 minute limit on editing posts. Were that limit not there, it would have been one post. Hopefully newcomers with similar issues will be able to extract some information from some of it, as your manual covers the zen cart portion of setup extensively, but might leave the less experienced Quickbooks user a bit baffled about things like adding shipping options.

Argh, the 7 minute limit strikes again.
Can I request you consider adding something to your manual about getting out of balance errors from orders that have products that are no longer available on your shop? I know this is probably an obvious one for some, but I spent a good amount of time trying to figure out that the issue wasn't discount coupons and low payment fees like you stated in multiple e-commerce forums located elsewhere.

OK. You can add them to the QBI db manually -- basically, you'd find the shipping text used in the order_totals table for ot_shipping and that's what QBI needs to match against. I should try to make a kb article on this soon, so I don't keep explaining the procedure. If you want this let me know off-forum (I'll make it available to all when I get it written up).

I don't know if Web Connect will solve this yet, but I will look into it.

I don't try to address setting up or using QB, except when it directly relates to QBI. There are numerous resources available elsewhere for learning QuickBooks.

Good suggestion. I also plan to do improvement on the error log system, so that QBI will indicate what went wrong.
Tip: Open the iif file in Excel. There you can easily see what's missing from an order by comparing it to the Zen Cart invoice.

I'm finding QuickBooks resources to be restrictively sparse, particularly in the area of shipping. I've asked the same question below in both the Intuit forums and Yahoo answers, but to no avail. So, my apologies if you view the question below as off topic, but it can't hurt to ask, I guess.
Is it possible to mark invoices/sales receipts as "shipped" somehow in QuickBooks and return that shipped status to zen cart? If so, how can I do this?
Even more ideally, it'd be nice if I could somehow automatically return this shipped status once I've printed a shipping label and postage through quickbooks.

I have tried absolutely everything I can to get payment method to work, but have had no success.
I want PayPal and GoogleCheckout to import as sales receipts, Check/Money Order to import as invoices.
My database shows:
Rows payment_method
50 Check/Money Order
5 Credit Card
2 Gift Certificate/Coupon
37 GoogleCheckout
179 PayPal
I have updated my php files as per the recommendation here:

I have uploaded the correct IIF from QB, did a setup of payment methods, set Check/Money Order to not paid online, GoogleCheckout to paid online, and PayPal to paid w/ paypal.
I went to match, tried it with no matches, that failed. Tried it again by matching the following:
GoogleCheckout (googlecheckout) -> GoogleCheckout
PayPal (paypal) -> PayPal
Finally figured out the issue was in configuration. I had to create two more payment methods in QuickBooks: PaidOnline and NotPaidOnline, then enter the names in Invoice Terms Paid online and Invoice Terms Not Prepaid. I had named these something else from one of my earlier attempts to get payments methods to work, and had lost the similarly named QB list items when I restored from a backup.
(placing this here for any future QBI users who encounter the same issue.)

QBI can't do that. It can though automatically change the status to Shipped when you download the orders. That's useful if you don't allow out-of-stock items to be purchased, and you plan to ship within 24 hours or so of charging the card.

Not possible now. I'll look into these kinds of features in QBI 4. Using ShipRush in QB, you can have it send an email to your customer with the tracking number when you print the label. Combine that with QBI's ability to change status when downloaded, and that works well for many people.

Actually, this has nothing to do with it. You can name them anything you like, as long as they are matched.

Hey Adam. When importing orders into QB, it never imports the second line of an address. Example:
John Doe
12345 Street
Apt A
City, CA 12345
The "Apt A" line always get's left off and I'm forced to enter it manually. Any ideas? QBI 3 and QB 2007 Premier.

The second address line is not supported in QBI 3.21, so the best solution is to disable it in Zen Cart.
QBI 3.76 and later supports the 2nd line (suburb) and will include it in the address if it is not empty.

You don't say where you are getting these errors, but they aren't from QBI. None of these pages or functions are part of QBI.
I like to be helpful, but the amount of support that you seem to need is beyond what I am able or willing to give in this free forum - you must be over 20 posts now in a very short period. Out of respect for my time, this is where you get the paid version of QBI instead. Otherwise, you are on your own or maybe someone else in the forum will help you. I don't mean to sound rude at all, but I have limited time and want to make sure I have some left to help others here also.

Instead of dissabiling it, as I have a lot of customers that use it, should I just install QBI 3.76?
