Hi All,

I'm launching a store in the coming month. Is there anything that could be done now to the cart (configuring order numbers, etc) to improve interaction with QB and your upcoming QBI? Thanks in anticipation.

Hi,
I am using old version of QBI in zencart.
actucally i have generated an iif filw.
when importing iif into Quickbooks it is generating an error like below..
'you cannot associate an item with Sales Tax Payble, Undeposited Funds, accounts recivable, accounts payble or non-posting accounts. Usually if u sell the item, use an income account; if you buy it, use an expense account.'
Can u please suggest what is the cause for this error.

This is a port that someone else did of an early version of QBI, so it may have some issues and is unsupported. The first official release of QBI for ZenCart will be ready soon, and I will provice full support.

Yes, QBI will work with Quickbooks 2002. If you don't have the Pro version though, make sure that under the File menu you have a comand to Import iif files.

It is the pro version, forgot to mention that. I'm sooo excited to hear that it will work. Wasn't looking forward to just making journal entries and having half my data in 2 different places.

I'm happy to say that the basic rewrite of QBI (Quickbooks Import) 3.0 is done! Now, I need to work out a few small issues, do the SQL table files, update the documentation, and work on ZenCart compatability. So, it really is getting close!

I hope your contrib has a link to send one-time donations to help you keep supportin it, I like the way timkroeger Image Handler 2 has a link within his contrib to send one-time donations. I always try to get my customer to make a one off donations to both Zen-cart and any contribs that they find they can't live without.

I appreciate the thought! I do have a link and a PayPal button on 2.10, but frankly there are a lot of people that talk about donating but don't come through -- it is of course up to the individual, but I suspect that a lot of people are benefiting and forget to give something back. I'm trying to decide before releasing 3.0 how to deal with that problem, without seeming heavy handed. Encouraging registration, offering store links and banners on the new QBI support site for those that contribute at certain levels, automatic registration and donation reminders (some people don't want to donate until they have used it for a while, and then they never do). Currently, I'm up to about 475 hours on the project!

Just to let you know Adam that I did donate a long time ago under a different name for your osc contrib.
I would definately NOT include something like Tim does (mentioned above) as it was the first thing I removed from his contribution and didnt exactly make me want to donate, especially as his screen shots differ from what you actually use.

I greatly appreciate that you donated, especially before the software was released! I just did a bunch of screen shots, and they will match exactly! However, it is very time consuming, so I can understand if he has gotten behind on updating them.

i think what you're doing is possibly one of the most important zc projects.
you're talking about millions of QB users out there possibly looking for a better solution than homestead, godaddy or the other QB ecom hosts that have no flexibility.
there's almost no mention of zc at http://www.quickbooksgroup.com/forums/
this should change, no?

I know everyone is anxiously awaiting QBI for ZenCart's release. I'm up now at 4am working on it! I'm currently testing it in ZenCart and making tweaks as needed (so far it is working nicely). And the documentation rewrite is partially done.

Actually the Quickbooks Merchant services payment gateway is Innovative Gateway Solutions and I believe there is a contrib for it for ZC. Do a search for the above in the forums. I hope I am not mistaken.

The previous contributions were removed when the ZenCart contribution site was redone recently, so if it was there maybe it will come back. The Innovative Merchant Systems (which I believe was recently purchased by Intuit) website has almost no information, but does have a contact form, so I don't know if they make the API available. I'm not interested in working on that now, but if there is already a contribution or someone else writes one, it will work with QBI.

I am happy to announce the release of QBI Quickbooks Import version 3.00 for Zen Cart!
QBI lets you import your Zen Cart orders, products, and customers directly into Quickbooks. Features include product mapping, automatic recognition of shipping methods, support for sales tax, discount coupons, and online payment gateways, and more. A wide range of configuration options let you customize it for your store. The comprehensive manual includes numerous screen shots.
Version 3.00 currently only supports US versions of Quickbooks. Support for international versions and multiple sales tax rates is designed into the software, but these capabilities will be added in a future release.
The Zen Cart team now approves contributions before they are posted, so it may be a day or two before QBI is available for download in the Contributions : Admin Tools section.

BTW, since I know so many of us have been following this thread for a looooooong time - some of us waiting until this functionality was available to even decide whether or not we would use Zen Cart - I thought I should re-post a link to the info on how to send a donation to Adam's "cause".... :smile:
Here's the post.
It's obviously not a requirement of a community-based open source effort like Zen Cart (nor should it be)...but given the amount of time spent by Adam and the level of functionality of a contribution like this one, I think it's good for the rest of us to give something back when someone goes above and beyond the call and contributes something that benefits us.

I've followed the instructions (I believe)
When I click on the "Import Quickbooks QBI" button
I get this error :

I have the install database button but I'm nervous to click it with the above error. Is it normal?
The only part of the instructions that I wasn't sure on was instruction
"d) Copy the QBI language files to your server. You must copy at least one language set."
I figure that it is included in the admin folder.?
Also it would be nice if cut and paste was allowed from the insturctions PDF.

The first error is not a functional problem -- it is checking to see if the config table has been installed -- but I will redo the check to avoid it throwing an SQL error.
The second problem is happening because you are using the database prefix "zen_" with your tables, and qbi isn't handling that correctly on the installation. I will try to look at and correct this tonight.
To correct your installation in the meantime, you can manually add zen_ to the name of all the qbi tables, and then go to the zen_orders and zen_products tables and:
Add a column called qbi_imported to each one, setting it to TINYINT, UNSIGNED, NOT NULL, DEFAULT 2. After creating those columns, go back to them and change the DEFAULT to 0.
I will fix the pdf so that you can copy the code, or supply it in another format.
Line number start from the very top of the page. You should be able to turn on line numbers in any html, php, or text editor.

Sorry to keep posting in your forum. I made the changes you suggested and I didn't get those errors. I completed the configuration page and successfully uploaded an iif file. When I goto setup I get:

Ok I'm going to go back and read through the documentation some more but a few problems have poped up.
On is with Payments.
I have 3 payment types set up. PayPal which i set as Paid Onlin. Authorize.net payments which i am using "Credit Card" which i set-up as Paid Online and chack which is setup as not prepaid. They have been matched to their respective mates.
When I imported all previous orders to get populate quickbooks for the first time, I have noticed that the PayPal purchases are showing up under accounts receivable and the authorize.net payments are showing up under undeposited funds. How can i fix this?
Second problem when i imported the orders i checked the Items list in Quickbooks and noticed that all of my products that have been sold were imported and show no associated account and a negative number on hand that represents how much i have sold.
Finally I imported customers and it seems like not all of my customers have come into quickbooks there are several people missing. Everyone that has placed an order is there and the math adds up to all orders that have been placed but still missing some customers.
Most of the other glithces i have worked out myself and were my fault in configuring and i assume this is too, just not sure where yet. I also have notices i get a whole list of warnings when i import the iif file under setup although the import seems to be working fine.

Make sure that you have entered the account in the QBI configuration.
Unless you increase your inventory in QB to cover all your past sales, the inventory is going to go negative when you import all those orders, because each one is subtracting from inventory. QBI does let you import all past orders, but really unless you have a compelling reason to do so, it is probably best to just start importing with the new orders.

Currently, QBI only imports customers who have placed at least one order, because it uses the orders table to determine the correct billing and shipping addresses (this information is not stored in the customers table). But I will modify this in a future release, so that the default address is used for customers who have not placed orders.

The warnings were due to an error in one of the functions and that has been fixed in 3.01. It would not have caused any errors in the data.

Hi everyone,
Thanks for all the words of support and appreciation, and all the downloads in QBI for ZenCart's first day!
I have corrected the errors that have been discovered so far in the initial release. This includes installation problems when using a table prefix, and sql errors that were appearing during the Set up procedures when importing an iif file.
If you have installed 3.00, please upgrade your version to 3.01, which I have just posted.
To upgrade, copy all the new files to your server. Also, please redo step 2i in the installation instructions (altering the database_tables.php file), using the new instructions, as the code you need to copy has been changed. I have included this as a Word document so that you can easily copy and paste the code.

It sounds like Authorize.net is working correctly. I'll need to test PayPal to see why it is not going to undeposited funds.

Remove all the tables in the DB and overwrote all the files with the new version. Everything went smooth until I clicked submit (or whatever) on the configuration page I then received :

Really wish there was a way to edit my posts.
I proceeded to export the customer, products , and orders. When trying to import to QBs the customers and products seems to work fine but the order received error:
Error on Line 11 : Can't record invalid transaction
Hit ok and get
Transaction not in balance , make sure the amounts in the detail area on the form for this transaction equals the amount at the top of the form
I get this set of errors several times. Before it ends. The orders are there but only contain the customer information.
What am I doing wrong? Any ideas?

Oh I realized that is what was happening with the negative numbers. I have already entered all inventory purchased into quickbooks so I would like for the past orders to be subtracted from existing inventory since I'll be tracking this with quickbooks as well. I don't think this would be an issue if the accounts matched up.
Only importing new orders would not work for me. I want all data from the start of my business to be in quickbooks. it is onle 60 orders so not too big of an issue although it is over 2000 units that have been sold so it does have an impact on inventory.
The account i have entered into QBI is "Sales:Merchandise" just as it is in quick books actually I copied and pasted it into QBI config.
I can live with the Customers only being those that have made purchases. This is not a huge issue to me at this point.
I'll go ahead and run the update and wait for your feedback.

Make sure that:
You have set up any discount coupons in QBI
That all your products in ZenCart have Model filled in and not blank.

After ignoring all the errors. I find that Inventory Assemblies (which are the products in my cart) are not showing up in the match screen. Only the unit items (the parts to the assembilies). I've read through the instructions. (My previous question was answered there) but didn't see anything refer to this except that assembilies need to be matched.

Sorry that some of you are having problems! I am working hard to resolve any bugs that have been found -- was up all night last night getting 3.01 done! It is working fine on my system, but of course everyone's set up is different so there are bound to be some issues that my testing didn't discover. I will take a look at the latest posts and resolve those issues shortly. In the meantime, I see that QBI has been downloaded 75 times so far! How is it going for the rest of you? If you haven't posted anything, does that mean you haven't installed it yet, are having similar issues, or that it is working perfectly? Let me know!

Appears to not work with the version of ZenCart that I am using. There is no includes/database_tables.php or includes/filenames.php
I'm still very pleased with this module, and I hope to get it working someday :) :thumbsup:

What version are you using? They should be there! Make sure you are looking in catalog/includes and not in catalog/admin/includes

Hey adam, you were right.
Now after doing all this, I get this error:
Upgrade QBI database from version 3.00 to 3.01?
I click on the button to upgrade, and it says:
Database table upgrades successfull. Now you must go to the configuration page.
1) Recheck your configuration options and configure new options.
2) Click "Update" at the bottom of the page.
Note: You must click update to finish the upgrade, even if you did not change any settings!
Now you must go to the configuration page.
I click on "Now you must go to the configuration page." and it prompts me to "Upgrade QBI database from version 3.00 to 3.01?" again.. and it keeps doing it. Anything I am missing?

Important for anyone upgrading from v3.00 to 3.01:
In the database_tables.php file, remove DB_PREFIX from each line added for QBI. So, for example:

I ran the update to 3.0.1 it went flawlessly no more warnings. I also redid all of my synchronization and still no change in the two major problems i'm having.
Have you gotten a chance to talk a look at the PayPal showing up under accounts receivable issue?
Also the Imported previous orders not matching to their proper item and associated account?
I even went to far as to take "merchandise" out of the "sales" catagory and made it top level so now instead of entering "sales:merchandise" in config all i have is "merchandise", updated the config in QBI, re-exported my lists from QuickBooks and imported them into QBI then went through setup, double checked my matches and experted the previous orders. Same results. Duplicate items and the ones that are imported have no associated account, in my case should be merchandise.

Hi,
It isn't your problem, as even if you did something wrong, the program should tell you what to do instead of delivering a cryptic PHP error message!
Tell me if I am correct in these assumptions:
You already completed the Set up before going to Match.
The match page showed a list from ZenCart on the left and drop-downs on the right with a list from QB.
After getting the error, and the "Matches Updated" message, your matches were not actually updated.
Let me know about the above questions.

And, I assume you selected a match in at least one of the dropdowns and didn't leave them all blank?

The code you copied is caused when you are using a database table prefix, and you are installing QBI v3.00, or by installing v3.01 but not using the revised database_tables code in the 3.01 installation manual. The column names all start with qbi_. If the error message shows your database prefix beforehand, like "avtec_qbi_" in the example, then you aren't using 3.01 with the revised instructions.
If you error message is actually something different, then please repost with a copy of your own error message.

My need is to integrate not with Quickbooks itself, but instead with Quickbooks POS... I was hoping this package would work for me, but as I see that it works with iif files, it will not. I would be interested in co-developing an XML interface.

The future capability to produce XML output is built into QBI. In fact, it can produce just about any kind of output desired, because the output format is located in a separate class file. I just did not have time before the initial release to study the Intuit SDK and xml tag format. I'm not sure exactly what you mean by co-development in this case, but I would be glad to add xml at some time in the future, and donations in advance from those who need this feature to cover my time would bring it to the top of the list.

This is an error in the code :blush: .
In qbi_classes.php, line 2446, please replace:

Please fix this if you are using QBI 3.00 or 3.01. I will include this fix in the next update. This error occurs when you save configuration changes on the Configuration page and will only affect you if you have magic_quotes_gpc turned on in your PHP configuration.

The Items:Item Income Account configuration setting only affects items that have not been matched when they appear on orders or in the Products iif file that QBI produces. This is because items in the store don't already have any account. When you match a store item to a Quickbooks item, the item account becomes what that item has in Quickbooks. Please check that the items you have matched have all the accounts filled in in Quickbooks. I have retested with both matched and unmatched items and everything appears to be working correctly.

I'm not sure if you understood what I was saying whith my comment. I probably didn't explain it very clearly. But i think it was irrevelant anyway...
All Items have been matched to thier corresponding products since the begining and remain matched now, I am still getting these items imported from my cart (via the import of orders), seprate items are being created in Quickbooks and the accounts column is left blank for these "new" items.

The only thing i see at the link provided is donation information. Is there something specific i should be looking for? I will be more than happy to donate which i often do with working software.
The issues i have been having with paypal payments going to accounts recievable has also not been addressed. Do you have any input on this or am i in the same boat as with the items? Which looks like I will have to pay to get it to work correctly.
Is there anyone that has gotten this contribution working without problems, consistantly?
I am going to try to uninstall this and reinstall it. If it is truely a piece of working software and the problem is with me and no one else is having similar problems maybe something went wrong during the installation.
Any pointers for uninstalling this completely?

I think Justin Simoni, the Developer of DadaMail, puts it perfectly, so I am copying what he says here, substituting the name of QBI:

PayPal is working fine on the "other" cart. There may be differences on ZenCart, and I haven't had a chance to test it yet. This may be an issue with QBI, and I will set up and test PayPal on my own cart, so it probably won't involve your time or money to resolve. QBI was released on June 5th -- it is now June 13th. Please give me a little more time to address this issue!

I use it every day on my site, and it continually receives praise on the "other" cart's forum, where likely thousands of people use it. It has about 4,000 lines of code -- so far, only a couple of bugs have been discovered in version 3, and only a handfull of people (out of 200+ downloads) have reported any issues.

I find that 99% of problems are due to people not configuring it properly or fully, or not fully reading or understanding the instructions. If you do discover a bug, I am glad to fix it.

On another side note... I have had a quick search of the forums and can't see anything directly related...
Are there any plans to do the same service for Sage Accounts? Many of our clients use Sage accounts, so I know this would benefit them.
I am also aware that there is quite a charge for becoming a sage partner, wrt developing API's etc. ( £1500+ I believe? ) Correct me if I am wrong.

Thanks for letting me know about it. At the rate of $ that I am receiving for QBI (no donations yet out of 200 downloads, except for some generous people who gave donations in advance, and will recieve recognition) (and I do understand that people want to set it up and see how it works for them before donating) it is unlikely that I could afford the fee or the time to develop anything for Sage Accounts on a donation basis. If you are interested in persuing this however, please contact me privately and we can discuss it further.

Hi Adam,
As with all things, one can never rely on donations. If someone donates, then that’s great, but if you relied on the donations for any particular reason, you would probably fall short.
I'm sure if you offered a free "cut down version" of QBI, then offered a few extra more sophisticated features for a small fee, say $5, $10, $20, (to cover the extra expenses) then people would be more than prepared to pay. I for one know that if something provides value & works 100%, I would “invest” in it. That would then promote you to re-invest in the community and make other great contributions.
I believe a popular term is ‘People want solutions to problems, not products’
I'll be in contact re: sage, maybe we can work something out.

I'm a n00b who can cut and paste code according to directions but can't write it to save my life, so I've got a stupid question. I've got ZC v.1.2.7 (couldn't upgrade to 1.3.0.1 because I NEED that products with attributes stock module). I went to install QBI and discovered that there's no directory called "catalog" into which to copy files. Should I just make a directory called "catalog," or will I need to do some other change? Are there any other changes I would need to make to use QBI with 1.2.7?

Many people install their store in a folder, like 'catalog' or 'store'. But, you don't have to do that, and perhaps you installed your store directly in the root.
Just copy in all the files from the admin folder of the contrib to the admin folder on your server.

Help! I'm drowning in errors I don't understand! What did I do wrong? If I made a typo in typing in all that code, where should I go look for it? Any help is appreciated.

Did you get a button to install the database tables when you first started QBI, and did you push it? What version of PHP are you running? Some very old versions (before 4.2 I think) will have trouble because they use an old syntax on the environment variables that is deprecated and not used in QBI.

I did not get any button about the database. From the instructions, I was expecting to see one, but those error messages were what I got instead. There were a few buttons interspersed between the error messages but they all said "Download file".
The PHP is version 4.4.2.
I should probably also mention that I have ZC v.1.2.7, not 1.3.0.1. I can't upgrade because I rely on a mod that isn't compatible with 1.3.x.

You are trying to install QBI v3.00. Please download and install version 3.01, which was released on June 6. The installation routine was rewritten and should be more reliable. Copy all the new files over the old ones, and replace the changes to the database_tables.php file with the new version of the changes. The installation instructions are now included as a Word document so that you can copy and paste the changes. Let me know if your installation is successful after that.

Check that you have Quickbooks Country set to United States and Output Format set to iif in the Configuration. The other choices have not been added yet.

I have just released QBI version 3.02, which includes the fix described in post #67. As there are no other code changes since 3.01, if you have made this fix yourself, you do not need to upgrade from v3.01 to v3.02. I have also made some minor changes in the manuals, which clarify the support policy and the directory structure.

It works with 1.3.0, which is what I test it with. It should work with older versions as well.

Just wondering how many Canadians are interested in using the QBI?
I just sent Adam a PM to see how many hours it would take (aka how much it will cost ^_~ ) to get QBI working with the Canadian version of QuickBooks Pro. Since it's probably going to be a lot, I'm just wondering if any Canadians would find this helpful, and if anyone would be willing to share the cost with me? :wub:

I will be leaving soon for summer vacation, so it is highly unlikely I'll have time to add the Carandian version before September.

Yup. Currently, it works only for US Quickbooks. I put in a huge amount of time getting version 3.0 out before the summer, and unfortunately won't be able to work on any international versions before late summer.

I have the fedex shipping modules (one module for ground and another for express) installed on my store, but when I try to match it with quickbooks it seems that the qbi module does not detect the fedex modules. It detects all other shipping modules but not the two for fedex!
Anybody else having this problem?

I will test this. Sometimes there are inconsistencies in the shipping modules with the text that QBI extracts, so I will let you know what corrections to make and work on making QBI detect it properly.

I've installed QBI just fine and I see its potential already. However, when I try to update the configuration, it says it did it successfully, but I receive this error:

And I think it also has something to do with trying to generate product list/match.
I'm open to any advice!
