can i set one up as a shop and the other as a gallery if they share a database?
I'll be looking after both sites so it doesnt matter about the set up just as long as customers can only buy from one of the sites.
I set up a test shop and tried to just copy all the files over to a subdomain but I think i just ended up with one shop in two places... so i deleted them both.
I dont know anything about programming etc so please keep it simple for this fool![]()
You can share the database, but keep in mind that you'll only have one admin area and any changes made in the admin will effect both sites.

if i only have one database does that mean i cant have one as a normal webshop and the other as a showcase gallery?
Yes, since that's an admin setting. If they share a database, both shops have to be either a normal web shop or a showcase. You can't have one of each.

do you know which files hold the admin username and passwords? I'm thinking i could set up a new zencart in a subdomain then copy all files from the original installation except these username/password files. if i'm thinking correctly this should give me a full copy of the original site but with a new admin/password? or am i missing something?
You are missing quite a bit...
Admin usernames are housed in the database.
If the database is shared between webshops on the same TLD (which is possible) then ALL DB changes made to one site will apply to the other site - DB changes are almost everything that is controlled in the shop admin console, so (for example) ALL images settings (sizes) ALL sidebox settings (positions) will be identical on both sites.
Additionally, if you set your store to SHOWCASE, it will be a showcase for BOTH sites.
... and there are literally HUNDREDS more examples of this.

If your host is so mean and miserly as to only allow you to have ONE database, then you could consider using PREFIXES for the database tables. This will allow you to have ONE database housing TWO (or more) installations.
... or you may consider moving to a host that allows you to have several databases.
