Quickbooks Import QBI

Strangely enough it is working correctly (sort of) in my QB Pro for Windows, but not QB for Mac (which is what I was using while testing this).

It is giving a correctly ordered number to each transaction in QB for Windows, but they are out of order. It is putting all of the imported orders first then the test orders I have entered by hand.

For example, this is the current order.

sale no 1: Zen order.
sale no 2: Zen order.
sale no 4: Zen order.
sale no 5: Zen order.
sale no 3: Entered by hand in QB.

QB Mac can be strange. QBI generally will work with QB Mac, but since I don't have a Mac I have not been able to test it. The paid version works better with Mac, but there still are issues.

QB usually orders sales by date.

My client has QuickBooks Premiere Edition 2006.
Does this leave them in the dust for using QBI,
or will QBI work with their version?

Will they need to upgrade?

QBI works fine with any version of QB Pro, Premier, or Enterprise. Years 2003 and up are officially supported. It will work with prior years as well, but if your QB is older than 2003 it's time to upgrade!

Adam, got a version question. I'm using QBI 3. I have individual items in QB and attributes in cart. The items, even after matching, import as subitems in QB. Is that the proper behavior for version 3?

The matching system in 3.10 will handle Products with one attribute. The matching system for commercial releases 3.50 and greater can handle Products with up to 5 attributes. That's attributes, not attribute values (which are unlimited). So, if you are trying to match Products with more than one attribute in 3.10, it will not work.

Hi Adam & fellow zenners,

I installed QBI recently and have been going through the manual and setting up the configuration. I thought I had everything matched and set up, but on the "create iif" page, the number of New Orders is always 0, even after a new order has been placed. So when I create an iif, of course the iif file that downloads is empty (0 kb file size). It seems to see the Products, New Products & Customers just fine---it's only the orders that aren't showing up.

Anyone have any ideas? There's no error message from either Zen Cart or Quickbooks, just no data to pass between them. For some reason, the orders aren't being seen by QBI.

Check your setting on the QBI configuration page for "Download orders with status:" If you have it set to "Shipped" for example, and your new orders are "Pending," that would be the reason they aren't being recognized.

I was finally able to test this mod with quick books the other day and I have some questions if anyone could help who has gotten this to work correctly. I downloaded the customers and imported them into quickbooks and it only imports the customers who have purchased something.

That is how it is designed. An option to import all customers may be added to the commercial version in the future.

I important orders but didn't come up with invoices or anything like that. Is there something I am missing. What I really want the mod for is to be able to transfer customers to my quickbooks so I don't have to type all the new information everytime I need to add a new customer and second I would love it to bring over the items they purchased the total and have like an invoice. Is this possible?

When QBI imports orders, the customer account information is imported at the same time. The customer import feature is only to import past customers into Quickbooks and normally is used once or not at all. If invoices are not being created then you may not have finished configuring QBI.

The Author of the Software does not feel that it is important enough to 'fix' the registration screen for us, by sending out a mod to turn it off, or fix his website to allow us to 'register it' to turn it off ?

Hello all,

I have an existing zen cart store (www.homesteadersupply.com/store) with almost 800 products, 100 customers, etc... I just bought quickbooks pro 2009 and found out about the QBI tool on a search to see if I could link the two together. As I said, my quick books install is void of data... I've just configured the chart of accounts and set up the company information. Can I import all my zen cart data into Quickbooks at this point or do I have to manually enter everything and get the two sync'd first?

I appreciate any and all help!!! accounting has never been my strong suit.. I'm more of a farming geek... hahahaha

Yes, QBI will let you transfer your products and customers into QB, with these limitations:

The free version 3.10b can create a products list from ZC products with up to two attributes.

The commercial version (currently 3.78) can create a products list from ZC products with up to 5 attributes.

Attributes are like Size and Color, for example.
Attribute values, like Red, Blue, Green are unlimited.

QBI does not import your initial inventory counts from ZC. This is because it would need to know the cost of your products and create a matching Purchase Order transaction so that the ledger balances. I may figure out some way around this for the commercial version in the future.

When you import orders, the inventory count will be correctly incremented. In addition, version 3.78 can periodically re-sync ZC with QB, useful if you have off-line sales.

There are many fields in QB that are different or not in ZC (and vice versa). For this reason, you will still need to go through your 800 products individually in QB to add the purchase cost, account names, description, and initial inventory count. It is still good to export the products from ZC into QB with QBI, because all your products will be set up properly, and all attributes will be set up with the correct hierarchy. This way, you will be able to import orders from ZC into QB without having to do any manual product matching.

Note that your web server may not be able to handle exporting 800 products, especially if you have a lot of attributes. If this happens, you should be able to cure it by increasing the PHP memory allocation (above the default 8K) and the maximum execution time.

Also, make a copy of your company file and work with the copy until you are sure the import is working smoothly.

The free version is still 3.10b and it uses iif.
The current commercial version 3.78 also uses iif.
Version 4.0, when it is available, will make a direct connection using web connect or other method with the QB SDK. I haven't decided yet if I will offer a free simplified version of 4.0 or only the commercial version.
