This is a problem caused by QB, not QBI, and the solution above is the best way to work around it. Only in the case that you never have off-line orders should you put %I in the Invoice Number field in the QBI configuration.

In the New Orders download, QBI only includes orders that a) have never been downloaded before, and b) meet the criteria of the "Import Orders with Status" setting in the QBI configuration. The "Import Orders with Status" is usually set to "pending" but can be set to "any" if you don't want to select orders based on their status. The reason that some orders are excluded is because they do not meet both of these criteria.

but anything else that should work doesnt.

QBI does not affect the operation of Zen Cart, so it doesn't need to be removed. But to do so, please follow the removal instructions provided in the documentation. If you would like personal help setting up QBI, please contact me. Also, make sure that your book-keeper has read the user manual. QBI is extremely easy to use, but will not work unless it is properly configured for your Quickbooks accounts.

I'm not able to get QBI to match any products with attributes to items in Quickbooks. On products without any attributes it's not a problem but products with attributes will "pass through" and create a new item instead of selecting the item:subitem that I have it matched to.
For example, I have a T-shirt with attributes of "Red" and "Blue" in Zen and in Quickbooks I have an inventory item called "T-shirt" with a subitem of "Red T-shirt" and a subitem called "Blue T-shirt." I have matched T-shirt:Red in Zen to the T-shirt:Red T-shirt item:subitem in Quickbooks but when I import the IIF file, Quickbooks will still pass this through and create a new item instead of using the T-shirt:Red T-shirt item:subitem.
Do the Quickbooks item:subitem names have to match exactly to Zen or am I missing something else here?

QBI will only match a single attribute. Adam tells us that the next version will handle multiple attributes though.
There is a bug in QBI that prevents it from matching to a QB group at all. Adam is aware of it and says it should be fixed in the next version. I am anxiously waiting for that because the majority of my product line is in groups in QB and currently, I can't use QBI because if that.

Ok, I finally got QBI to match products with attributes to Items:Subitems in Quickbooks. I actually had the Quickbooks Items setup as Items:Subitems:Subitems. In other words, my Quickbooks Item was Clothes:T-Shirt:Red instead of just T-Shirt:Red. When I removed one "layer" of subitems, the QBI matched everything correctly.
Now for my next question: How do I get QBI to update the Zen order ID number into the Quickbooks Sales Receipt number? If I upload my orders from Zen to a Quickbooks Invoice, then the Invoice number matches the Zen order ID but if I upload to a Quickbooks Sales Receipt, the Sales Receipt number doesn't match the Zen order ID.

The iif file format does not allow QBI to use the Sale Receipt number. The Zen Cart order number is put into the PO Number field. In the QB template system, you can rename PO Number to Web Sale Number or whatever you wish, and make it visible on the screen and print-out.

The developement version now works with multiple attributes. I've been in the caos of moving from California to Portland Oregon for the last few months, but I will have the office set back up this weekend and then will be able to concentrate more time working on version 4.x.

Check that you are not using any mod for admin user permissions. If you are, you'll need to tell it about QBI. Try going directly to www.yourstore.com/admin/qbi_create.php.

QBI does not yet work with POS. QBI can not yet update quantities in Zen Cart, but this is planned for the next version. When importing orders from Zen Cart into QB, inventory quantities will automatically be reduced.

QBI uses the QB Item Name to match to the Zen Model.

Sales tax question: not sure that this is a QBI issue as opposed to a QB issue.
I have a downloaded order for 2 taxable items and a friends&family discount. The tax was charged on the total item price before the discount rather than after the discount. Shouldn't the tax be on the total selling price (ie the price after the discount?)

Adam - I am on WinXP using Acrobat 7.0 and cannot open the PDF. I am getting an error message: "There was an error trying to open this document. The viewer cannot decrypt this document."
Surely you must have a better solution than to flame a linux user!

The manual opens with Acrobat 6.0 or later. Try downloading QBI again - maybe the pdf file got corrupted.

Check that your directory paths are set correctly in the Zen Cart config. QBI gets its paths from there, so if they are not set up correctly it impacts QBI. Check that your secure paths are correct too. If you can't get to the page, and it exists on your server, then something is interfering before you even get to QBI. Either a path issue, or an admin permissions issue.

It will not work with UK Quickbooks. If you use US Quickbooks your VAT will not work correctly.
UK support is coming in QBI 4.x!

I'm really looking forward to using this mod, but there is one problem that is stopping me.
I can not have this mod creating my order numbers for me. I need quick books to assign all order numbers. I currently use a format of "0709123" Year, month, order number basically. We get phone orders all the time, which means that I input orders manually sometimes into quick books.
I guess I basically want to turn off the order number feature that QBI it trying to create, and let quick books keep my order number format when importing orders. Is this possible?

That solves it - I was using Acrobat 5.0.
on an unrelated note:
Looking around Quickbooks' developers site, i notice that the .iif format is being phased out in favor of an XML API. Any plans in the work to port QBI or create a new mod based on the new API?

I have to say i love this contribution but I have having two small issues.
First is i get errors when entering the .iff file if that days orders has attributes. Is there a way to set up attributes correctly ?
second is i take credit card payments and paypal payments . the paypal payments (invoice) always update with the correct order number but the credit card payments keep falling father and farther behind the actual order number . is there a way to fix this ?

You do not have the Item accounts set up correctly on the QBI Configure page. They must all be filled in, and match your QB accounts. More details are in the QBI manual.

QBI can't create your order number with the date in it like you have above. There is a way to avoid conflicts with manually entered orders -- the instructions for setting up QBI this way are in the users' manual.

I have a client who uses Quickbooks. She has a database on Quickbooks of all the products in her store. I was wondering if QBI allows for the importing of that database of products to the online store?
I guess the main problem right now is that we have a large list of products on Quickbooks but we don't want to type in the products one by one onto the zen-cart admin panel. Wanted to see if QBI would allow a direct transfer of quickbook products into a list of products on the online store?
A second question I have is, if the products on quickbooks are in Chinese language, will I run into any problems with QBI?

No. QBI will export your Zen Cart products into Quickbooks, but not the other way around. This capability is planned for QBI 4.x.

I don't think it will work, as I don't think the iif text file format will support extended character sets. Maybe I'll add that to QBI 4.x, but I haven't looked into this issue yet (never has been asked before!).

Saw in a previous post that this should be in the next version... any ballpark on when that might be around? I have a potential install and I'm either going to cut them lose or tell them it can be done, but if the next version won't be out for a year I don't think I can delay him that long!

There was a big delay due to moving from the San Francisco Bay Area to Portland Oregon, but now I am working on it daily. It won't be a year -- I know I keep saying two more months, but that's a ballpark. When I get closer I will let everyone know. But I am working on it every day. New features I'm working on right now include (optional) automatic conversion of attributes into separate line items, and intelligent PO creation (ability to split by manufacturer, and ability to group all orders of the day for each manufacturer on a PO, and to split by manufacturer and customer for drop shipment). Also planning on inventory updating from QB to Zen. And of course UK and Canada support. The more advanced features will not be in the free version.

sorry for barging in here with a noob question. but, there's better things i can do with my time than reading 55 pages worth of posts ;)
hopefully someone who's been following along can answer this quickly for me. will this QBI allow me to easily syncronize my Quickbooks premier 2007 inventory (which is what we do our purchasing and receiving with) with Zencart 1.3.7?
if not, is there a tool that will?
if so, is this a big chore that should only be performed at large intervals? or is this something simple enough to run daily when we close out quickbooks for the night?
and, what happens with new inventory that has never been created in ZC? does it create new products with the available info? skip altogether? something else?

Thank you so much for this contribution, Adam. I have a question regarding inventory quantities. I have a brand new website. I read through the user manual and completed the configuration and set-up. I successfully downloaded all of my products from zen cart to a new QuickBooks file that I just set up (it had no products listed yet). The IIF file transferred smoothly, but it did not import any quantities of my products into QuickBooks. The product quantities are listed correctly in zen cart. I did some research and it sounds like inventory is supposed to transfer from Zen Cart and update automatically in QuickBooks. I've looked through the manual and the config page and can't seem to figure this out. Am I doing something wrong? Do I need to enter my initial inventory manually into QuickBooks?

I think I found the answer to my question. I went onto the libermansound website and checked the forum. I see where Adam responded to another person with this same question about a month ago. I see that I will need to enter my initial counts manually.

You should not run the script manually. It is run automatically the first time that you go to QBI in the admin panel. If you have run it manually, remove all the QBI database tables and then go to QBI in the admin panel so that the automatic installation runs by itself. Make sure to read the installation instructions first!

QBI tables deleted. Per the instructions I went to the Customers tab clicked on the line for QBI and I get page not found.

When I look at the files that came with module I don't any that have thename qbi_create.php in the Admin directory. I downloaded qbi_v3_21b_zen. What should try now?

The cron page runs QBI automatically and is only intended when you are automating QBI using a cron or psuedo-cron job. If qbi_create.php is missing then you need to replace it. Either it didn't get transferred to your server, or somehow it got corrupted in the zip. It's there in the zip, because everyone else has gotten it, so if necessary download the QBI contribution again.

It looks like the payment module "off-site payment" has an error in that it contains a constant that isn't defined. This is causing the problem in the MySQL statement. If you aren't using this payment module, then remove it from your payment modules directory. If you are, let me know and I then we can fix it or manually correct the database.

Hi Adam,
yes i am using the module.. Any help would be appreciated. Im wasting precious time hand entering all my orders!
its also crashing out when i try to import orders.. im assuming (hoping) due to same problem
I did try to manually add the module to the data base.. im a beginner so coulda overlooked something.

Disable the automatic payment module detection as follows:
File: qbi_paymatch
Lines: 40, 41
Action: Add // before these lines to disable as follows:
// $matching->match_find_lang('payment');
// $matching->match_parse('pay',TABLE_QBI_PAYCART);
Now, you will need to use phpMyAdmin, open the qbi_paycart table, and find and correct the bad entry. If you need help with this please contact me by pm.

I got the error message to go away by disabling those lines.. Did not know what you meant by "correct the bad entry". Please explain.. it seems to be fixed (?)
Can import products etc, When I try to import orders it crashes Quickbooks. All required options are filled in under configure.. anyone have an idea of where to start troubleshooting? Id love to get it working instead of entering the stack of orders i have here ;-(

My Daughter and I are currently working on a new ZenCart for her web store.
She uses Quickbooks Point of Sale module, which keeps her inventory, etc.
In her current scenario, the Web store is completely independent of the Point of Sale module, so she has to enter sales from the web store manually into QB/POS at the cash register terminals....
She is just positive that this QBI will not work for her, because of the Point of Sale Module - is she correct?
Does POS have iif import/export capabilities?
Is anyone using QB/POS with a ZenCart and QBI?
I would really like to hear from you....
I have already installed QBI into a test ZenCart, with lots of other stuff.
QBI appears to function (on the Zencart/Admin side, at least).

I was told by my graphic designer that the QBI download does not work due to the guy who created it not giving his approval to use the program. Is this correct info? If not where do I go to get the up to date download.

I appreciate any help on this.
I uploaded my Qbi file and started to configure it when I notice 2 items from the catalog were listed 2x on the match product page. I checked and only show they are listed once in the catalog and no duplication of the product was done.
I also see that 2 of the products from the catalog are missing from match list.
I am getting this message :
Warning: Some products are missing the model name! Correct this issue before creating iif files!
Due to the above I am not able to match 2 of the items in my catalog.
Just an FYI , We have 2 zen cart stores- I am the non technical person- I set up all the QBI configuration on our first store with no problems, works great!!

First of all, thank you very much for your work on this module. I can see it eventually making our management much, much easier!
After a lot of work (I am quite new to Quickbooks) I was able to import our orders successfully. However, I can't get the payments to show up. I have Import Payments set to As Sales Receipts. I have every payment method matched up (to Paypal). And I also made the changes you mentioned on page 49. However, my payments still don't show up in any of my Quickbook accounts or sales receipts.
Any help would be very much appreciated. Thanks!

QBI currently does not work with POS, but support for POS will be added in a future release.

I created QBI and I have no idea where they got that idea. QBI 3.21 is the latest free version of QBI for Zen Cart. When QBI 4 comes out, I will post a QBI 4 Basic version for free download.

Check the model field for your products, by opening up each one for editing (you can also check much faster if you know how to look at your products table in PHPMyAdmin). Some product(s) is missing the model, which is required by QBI. It is possible that you have two products with the same model, which would need to be corrected. Unfortunately, Zen Cart doesn't require the model field to be filled or check if there are duplicates.

QBI currently only works with US Quickbooks Pro, Premiere, and Enterprise. UK and Canadian support is a top priority and is planned for QBI 4.x Pro.

Adam I posted a bug report some time back in post 476 where QBI does not match an item with one attribute in Zen with a group in Quick Books. Most of the items in my store are represented by groups in Quick Books. As such I have not been able to use QBI at all. Would it be possible for you to post the code change to match groups in Quick books so that I can begin using it until version 4 is released? I don't need multiple attributes, just one item with one attribute to match to a group in QB. Thanks.

Sorry, I did forget about this. I now have a formal bug report system to prevent things from falling through the cracks (this is now issue #21). I will try to look at it later this week.

Not a dumb question at all.
The easiest way to use QBI is for the Zen Cart Product Model to match the Quickbooks Item Name, and for Zen Cart Attribute Value to match the Quickbooks Subitem Name. But you can use the matching system in QBI to map together Products and Items that aren't the same.

I'm sorry if this has been covered allready but I read through 5 pages & noticed that this thread is huge. this is a module for zen cart that will allow me to import all sales info directly from zen cart into QuickBooks Point of Sale 4.0 and also Quickbooks pro 2007???? Is there any way to import my Point of Sale items & inventory into zen cart???

Currently QBI only works with US versions of Quickbooks Pro, Premier, and Enterprise. It does not work with POS or non-US versions - that's planned for the future. QBI can export inventory lists into QB. It can not populate Zen Cart with inventory lists from QB (although the paid version can now synchronize inventory counts). This may be added in the future.

I need a seemless integration between the 3 peices of software. Quickbooks Premier 2007, Quickbooks Point of Sale 4, and Zen Cart.
Does Zen Cart have any import capabilities for items and customers etc....

Intuit expects to drop IIF from future versions of QuickBooks. Any such change will be announced in advance on this FAQ page.
Intuit recommends that all integration between QuickBooks and third-party software applications be implemented using the QuickBooks Software Development Kit (QBSDK). Intuit will support QuickBooks for customers who use applications which utilize the QuickBooks SDK.

Intuit has not supported iif for many years. They have also threatened to drop it for years, however every new version of Quickbooks, including 2008, has had it. There are just too many applications out there that use it.
If the iif files are properly formatted, which QBI does, there should be no problem. There are tens of thousands of people using QBI, and I've never heard of a corrupt company file occurring or any kind of data validity problem happening. QBI does have to be set up properly with the right company accounts and settings, but that's going to be the same regardless. So, users should have no reservations about importing iif files. However, that's not to say that there aren't advantages to using the SDK, and I plan to add XML file output capability to QBI 4.0.

I haven't tested it with 1.38 myself, but since QBI is virtually completely self contained and interfaces directly with the database, it should work with just about any version of Zen Cart.

You're so right Adam. I didn't take time to think of that. I think I'm just panicing due to the number of stores and the number of mods installed on each one that I haven't taken the time to think them through.
I think this calls for taking a few steps backward and putting some though into the whole thing to avoid pre-upgrade burnout!

Is that because I have the version I downloaded from zen-cart download section?

Do you have to format your store in Quick Books before you export and upload List Item, Shipping Method List, and Payment Method. I uploaded the iif per instructions and in set up I get prompted to process the iif, but I don't get the the match/payment and fields like in chart 15-1 in the configuration manual. I made sure the default was set for configuration in QBI.
