Hi,
Make sure that:
1) ALL your Zen Cart products have a Model. If it is missing, you need to add it. The Model is like a SKU or part number. If you make it equal to the QB Item Name, you will not need to do any matching.
2) Read the manual completely and do not skip doing the configuration and set-up/match as needed. Just like Zen Cart and Quickbooks, you must fully configure QBI before trying to use it.
3) Make sure that any discount coupons or gift vouchers have been set up properly in QBI.
4) Open the iif file in Excel. You will be able to see what product or products are missing from each order. The transaction is likely not in balance because one of the line items is missing.

Thanks for your reply. As far as I can tell, all is set up properly. I have matched all of my products to the products in Quickbooks using the Product Match feature in QBI. I went through the manual twice before I posted here, but saw nothing unusual. There are no discounts/gift vouchers. The iif file doesn't show any products whatsoever, only the total and the shipping information.
QBI was working fine until I installed a secure certificate in order to change my credit card processing mechanism. The problem started after the certificate was installed. That may be a coincidence, but the problem did emerge at about the time I installed the certificate. I have no problems with any other cart features.

Everything seems to be working fine. But I have one question...
When I import items into quickbooks, it does not bring over the manufacture info to the vendor list for each item. That spot is left empty and for me, we use 3 different vendors.
Is there an entry I can change that will allow that info to also be included??

QBI can only bring in information that already exists in Zen Cart. Certain fields like Vendor don't exist in Zen Cart, so you will have to update that yourself in Quickbooks.

hmmm, ok with that being said. Quickbooks has the option to add custom fields. Would it then be possible to create a field that is titled "manufacture" and it then update auto??

I'm curious, would this modification be at all useful in the process of migrating an existing Quickbooks database into a newly designed Zencart site?
I have an upcoming client that would like to get away from quickbooks entirely and store all of his information in the eCommerce store.
Also, may I ask, what use do you find that quickbooks provides for you that you couldn't do through Zencart itself? Does it simply provide offline product management?

Yes it would, but it takes a bit of work. To merge your products into the database you will have to upload the iif file and do the product match section for each product i believe. Once completed though, you should only do it from one direction.
We use quickbooks as an accounting tool. For bank records, taxes, etc. Sadly, zencart still does not offer some options that quickbooks does...like the ability to show the entire list of products and sort them in any manor. But you can do that through php.
So its up to you. This addon works very well.:bigups:

QBI is not designed for that purpose. I suggest you look at Easy Populate to populate your site.

Quickbooks is a complete accounting system, with purchasing, accounts, bank accounts, inventory, etc. Zen Cart has none of that -- it is not an accounting system. Your client still needs some way to keep their books.

QBI works fine with 1.3.8.
The current commercial version of QBI is 3.80, and it is the version in active development which is updated at least every few months, and sometimes even every few weeks. The free download is a much older version, 3.21. When I release 4.0, I may do an update to the free version.

This mod absolutely rules!! :bigups: I have the commercial version and am thrilled at how easy this is to install and use.
We have been using it for about a week an all is going well. I had a little trouble getting my shipping configured to post to the correct QB account but found it was my problem with entering the account name in QBI.
I have two little things left to get working if someone can help me.
I want to import residential customers as Firstname Lastname. This is all working except for the capitalization. I have on the Customer Name (residence) config line: %F15W %L15W. In the quickbooks field Customer Name (the one I can see) the name is capitalized, however in the ship to: and bill to: fields on the printed invoice from QB what the customer actually typed into zen shows up. Any ideas????
The last thing is getting my shipping options to match and print on invoices and sales receipts. I have to admit that I was stuck on this for a while until I realized I didn't have the ship via data field inserted on my invoices and sales recs. It's now there but for some reason the data isn't making it to QB. I've been able to match everything else and I see my QB options in the match screens in QBI but when I import an iif everything comes though as "Method not set".
Can anyone help out with these items?

I am building a new store for a customer. I want to provide information to him regarding purchasing the commercial version. What is the website URL where I can go take a look at the features and pricing of the commercial version to do a compare for him to the free version so he can make the choice of buying the commercial version vs. me installing the current free version.

This seems like a fantastic program, but I am getting the following error code when I try to Import my new orders into my Quickbooks Pro 2004 program:
ERROR on Line 6: Importer Rcord has an Invalid Date: Should be MM/DD/YY
I think the program is sending the date in this format: MM/DD/YYYY
Does anyone know how to fix this? I would love to use this program. Any help is GREATLY APPRECIATED!

Never had that error reported before. Open the qbi_orders.iif file in Excel and look at the date in line 6. Maybe you have Zen Cart or your server set for a different format.

QBI versions compares 3.2 to 3.5; but, there is no reference to 3.8/3.81 ?
Please update the versions page so that it is easy to compare the current free version 3.21 to the current pay version 3.81 and/or post the information in a sticky in this forum.

I've been using the QBI import for over a year and a half with no problems. (Version 3.21 with Zen Cart 1.38a) I haven't made any changes or added any mods and today when I try to download New Products, I get the following error:
Fatal error: Allowed memory size of 134217728 bytes exhausted (tried to allocate 57 bytes) in /home/scrappin/public_html/store/xxxxl/includes/classes/qbi_mysql.php on line 160
I was able to download my New Orders with no problem, just can't download the New Products.

I have qbi installed and all works well for orders. however, when I export new products added in zen the IIF file does not put my products in subcatagories. I took the time to match cat names in qb and zen down to capitalization so i'm at a loss. any ideas? or is there a way to adjust the IIF before importing.
I have searched this thread for a while and can't seem to find any answer.

Id be willing to pay for the commercial version, but as countries outside of the US are not supported, i wanted to see if i could get the free version working first.

There was 66 New Products and 16 of them had a lot of attributes. So I deleted those 16 products (so there are 50 products now) and I'm still getting the same error. I'm not sure what's wrong as it has always worked for the last year and a half.

Yes, the Australian template does not exist, that's why you are getting an error. It needs to be set to US.

Currently, only US Quickbooks is supported by both the free and commercial versions. However, I have heard that Australian QB is close to the US version, so you can try it and see if it works.

You are exceeding the PHP memory limit.
You still may have a large number of products. It depends how many attributes and attribute values you have.
For example, if you have one product, and it has 3 attributes with 10 attribute values for each attribute, you'd have 1,000 products in QB. Multiply that by 50 base products, and that's 50,000 products!
This may be an extreme example, but you can see how it is possible to exceed PHP memory or execution time.
If this is what's happening, you'll either need to rethink your products, or increase the php.ini settings (if you are able to).
You can get a clue by looking at the qbi_products.iif file (using Excel) in the qbi_output directory on your server to see where it stopped. This is the file that you need to download, but it is likely that it is incomplete, because you are getting an error before QBI can finish adding everything and prompt you to download it.

We are trying version 3.21 and are having a problem with several issues. many of the problems we solved by customizing the script and the issues below remain:
We use three payment methods:
Check, Google Checkout, and WPP.
QBI config is set as:
Invoice terms paid online: GoogleCheckout
Invoice terms not prepaid: PayPal
This was the only way to get the payment terms making it in iif.
However, there don't seem to be the way to treat both WPP and GoogleCheckout payments as online payments. In addition, only GoogleCheckout payments result in PAYMENT lines in iif.
question is, how do we set up the three payment options so that:
Check payments are output as Check and don't get PAYMENT lines
WPP are output as PayPal and do get PAYMENT lines in iif
Google Checkout payments are output as they are now (e.g. only one that seems to be working correctly).

The Payment Terms have no affect on anything else. It is just the text that goes in the Terms box on the Invoice or Sales Receipt.

Yes, there is. You need to do Setup Payments and Match Payments. On the Setup Payments page, you can set to Not Prepaid, Paid Online, or Paid with PayPal for any payment method as you wish.

Then Payments aren't set up correctly. Also, you should be using Sales Receipts. There's no good reason to use Invoice and Payment.
Additional functionality for handling PayPal and Google Checkout is included in the commercial version of QBI (3.82).

I actually had this working and suddenly the discount/fees set up is missing all the drop downs! Now when I go to matching it says that I need to set up the discount/fees, but I am not able to. They were there but have now disappeared. Any help would be great!

You need to switch the country on the Configure page to US. The other countries are not active.

great now working but when i go to upload it on to quickbooks 2008 pro it states "the transaction is not in balance. make sure the amounts in the detail area on the form for this transaction equal the amount at the top of the form" im guessing this is also a mistake in my configuration but struggled to follow the instructions as i am not very technical in nature:(

This isn't something that is a typical issue, or easily solvable in a couple of posts. There's some issue with your site, and I'd have to look at it to get any further. That level of support is only available for the paid version of QBI, not the free version.

Check these things:
All your store products must have a Product Model.
If you use discounts/coupons/gift card, or have extra charges, they must be set up in QBI.
If you are trying to download older orders, and they contain Products that you've deleted in Zen Cart, you'll get errors. Never delete products (just set them as inactive). QB does not let you delete items that are used, but unfortunately Zen Cart lacks the logic to do this.
If you charge sales tax, and you are downloading old orders that do not have the current sales tax rate, you'll get errors because the tax calculation will be wrong.

right ok i will check these things out. i do use the reward points module as well how would i enter the calculations in for this? i set that module to give 5 points per £1 spent and each point equals 1p.

right so i found how to add discounts and have added the dicount coupon code that was used and the amount and it still won't work so then i added a discount named "reward points" and set that at 5% as should be and still nothing. I keep getting the previously mentioned error followed by "data succesfully imported, error on line 10" ?? I have checked and still nothing imported over?:(

I am almost positive that I have configured something wrong but I cannot figure out what it is.
When I import my paypal orders into Quickbooks, they import as invoices instead of sales receipts that are paid online. No payments import at all. They are not even in Undeposited Funds.
Here is what I have configured for PayPal. In Quickbooks Premier 2010, I set up a PayPal "Terms" and a PayPal "Payment Method" as other payment type.
In QBI Configure,
Invoices:
Invoice account: Accounts Receivable
Sales Receipt account: Undeposited Funds
Invoice number: %I
Invoice/Sales Receipt 'PO Number': %I
Invoice to print:
Invoice terms paid online: PayPal
Invoice terms not prepaid: Check
Payments:
Imports Payments: As Sales Receipt
Setup: Payment:
PayPal: Paid w PayPal
Match: Payment:
Purchase (paypal): PayPal

I've been trying to figure this out by process of elimination and I have realized that if I change the Match: Payment: Check/Money Order (moneyorder) to PayPal, the orders and payments will import correctly into Quickbooks but not on the Purchase (paypal) Shopping Cart under Match: Payment.

it does really seem like a great module to have it's just getting it set up right to work with your version of quick books. im at the same stage as you. only problem i have is my orders that need entering into quickbooks is very slowly getting to the point of being a very looooong list lol.

How do I correctly configure to import the correct price for each currency?
I currently accept US dollar, Euro and Pound Sterling, the default is US dollar.
Whenever I get an order in Euros or Pounds it always imports with the dollar price. This is not much of an issue if it's just one or two items, but if the order has many items, it is a pain to correct the price.

But, in Quickbooks, don't you ultimately do all your accounting in USD? Or, do you have multi-currency set up? I don't think there is a way to import the iif file using anything but the default currency.

right so i found how to add discounts and have added the dicount coupon code that was used and the amount and it still won't work so then i added a discount named "reward points" and set that at 5% as should be and still nothing. I keep getting the previously mentioned error followed by "data succesfully imported, error on line 10" ?? I have checked and still nothing imported over?:(
First, QBI is only tested with the US version of QB. If you are using any other version, all bets are off. I have been told that it will work with Australian Quickbooks as-is, but again I can't confirm that as I haven't verified it myself.
Open the qbi_orders.iif file in Excel. Find the order in question, and you will see where the problem is. Probably, it is still an issue with your discount. Make sure that the proper ot_ code is in the QBI table so that the matching works.

thanks for the reply adam i took the .iif file and ignored it in the end. Once all my items where set up i found it just as easy to update the orders by setting up 2 customers. sale and web sale. then i simply enter web sale/sale for each transaction and select what items where purchased and what qty and lets just say it is adequate for now. Give me a shout if you get around to making your paid version compatible with uk quickbooks pro 2008 and i'll definetly purchase it. I am not technically adept enough to figure out where it all went wrong so i don't want to mess around with it!! :bigups:

Amounts should simply be multiplied (and rounded) by the 'currency_value' in the 'orders' table as it is done in Zen Cart.
As an example, would changing something like this

I'm sure you probably have seen this before, but I could not find mention of it in the forum.
After setup I imported my first 2 orders without a hitch, but on the third and subsequent orders, I get the following error during the import to quickbooks:
"Error on Line 16: Can't record invalid transaction."
I have tried it several times with different test orders and same error. Line # will vary, but it is always the last line in the file and contains only "ENDTRNS". I have also tried orders with and without discounts, same story.
I am using USA Quickbooks 2010 pro, QBI 3.21, Zen-Cart 1.3.8a

That is the last line of the order with the problem. Check that all the line items in the order above equal the total (actually, the sum will be zero, because the line items are negative amounts). You will likely find something missing, and that's your problem.
Also, make sure that you have correctly filled in all the required fields in the configuration, especially the account names.

I checked and the items equal the total, the only diff I can find is that there is no corresponding offset for the tax figure. Each line item has a -$ and a +$ amount but the tax only has the -$ amount but it is included in the total. This did not create a problem for the records in the first import, so I assume that this is normal.
I also can find no erroneous characters in the file and I compared the failed files to the file that was accepted with no problem, there appears to be no difference in structure or basic content.

But after I download the IIF, and opened it in the excel, there only 358 customers in the file.

Check for any funny characters in your attribute values (symbols, etc). Otherwise, I'd need to look at your database and see what's wrong, and I don't provide that level of support for the free version of QBI. It isn't a problem in the QBI code.

The free version of QBI only downloads customers who have placed orders. The other customers probably registered but did not place an order or their payment got declined and they did not try again. The counter shows the total number of customers.
The current paid version of QBI has options to download customers without orders, customers with declined payments, and customers without an account.

Using the latest version of ZenCart - with the free version of QBI module. We have EVERYTHING working except Product matching.
Forwhatever the reason, its not changing the model numbers to what we match them to, and the import is simply creating new products with each order. PLEASE HELP! not sure if its an issue with QBI not working correctly or an issue on our side

Check that the ZC and QB items you are matching to are not over 30 characters long, and that you don't have single or double quotes or other symbols in the item name or product model.
You can avoid matching by just making your ZC product models the same as existing items in QB, or do a products export from QBI to create items in QB.

If an existing customer registers on zencart, can I merge their "new" account in QB with their "old" account, so I can see their order history in QB, or do they need to keep 2 seperate accounts?

I'm not sure what you mean by not importing. Have you set up the correct Status that you want for new orders on the QBI config page? Do the orders show up under New Orders? Does the iif file get created? Does QB say that the import was successful? Have you checked for the orders under both Invoices and Sales Receipts?

QBI needs to use some kind of logical consistent system for naming customer accounts, whereas you may use some human creativity in doing it yourself. Accounts also need to be guaranteed to be unique, so QBI can't just name John Smith as SMITH. If your human system is haphazard and doesn't fit a definable pattern, then QBI will not be able to duplicate it. QBI's default is to use the Last Name, then a dash, and then the Customer Record Number from Zen Cart. QBI has a flexible template system that lets you define how the QB Customer Name is defined.
So, in short, it is likely that QBI will have no way to guess your human assigned Customer Names, and you will end up creating new accounts when you import into QB. Inside of QB, you can merge the existing Customer Name into the new Customer Name, so you won't have two accounts for the same customer, but you'll have to do this manually. Again, this isn't due to any limitation of QBI, but is a result of how you've likely been assigning Customer Names in the past before using QBI.

Thanks for your response. I beleive it is set up properly on the config page, the file is created, QB says it is imported, but it does not show up anywhere. I also look in the customers file, and see nothing,

How many orders does QBI say it is downloading?
Open the .iif file in Excel. Is it empty, or does it contain orders?

I also exported a full set of iif files. I noticed that customers, products etc, when there are no entries the column headers do show up. When I try to export the orders, there are not headers either. the file is totally empty.
Btw - I also have reinstalled the software - not change.

You didn't answer how many orders QBI says are New. When you install QBI for the first time, there will be NO new orders. Only orders created after it is installed can be marked as new. Those orders will be marked as new only if a) they are the correct Status, and b) have never been downloaded before by QBI.
You will likely get your orders if you download "All Previous Orders" instead of "New Orders."
Also, you are going to a lot of effort troubleshooting QBI when you only have two orders in your system. I suggest you do more testing to verify that you have Zen Cart set up correctly. After you are sure that everything is working correctly in Zen Cart, then worry about QBI. Two orders is not enough to verify that you have Zen Cart working yet.
You'll also need to place some test orders in Zen Cart after QBI is installed, so that you'll have some new orders to download with QBI.

I have created files using using both "All Previous Orders" and "New Orders", but again, nothing in the file, not even the column headers. I have no reason to believe that zencart is not set up properly. I you really think it will make a diffeence, I will launch the site and wait a few weeks. By then I will probably have 10 or so real orders.

At this point we've covered the obvious issues, and it is hard to know without seeing your site. I keep asking, but you have not answered my question of how many orders it says are New (and Previous, and All), which would be useful information for troubleshooting. It is likely something that can easily be resolved by seeing your site, but that's part of the service included with the paid version and beyond the scope of my limited support for the free version. It is unlikely a bug in QBI -- I haven't had this issue reported before, and there are 10's of thousands of people using QBI.

ok this is going to sound confusing, but for me, the problem was in the way the calculations were for an item i had on "special". (not sure if that is related) but something was happening with the calculations somewhere. the item was marked down 5% from 7.95 to 7.55. she bought 4 of them, and in the .iif file, it had the total as 30.2 - but she was charged 30.21 - and it was trying to import in quickbooks as 30.2 and that was causing the error because of it being .01 off. so i went into the.iff file and manually changed to 30.21 and then it imported fine. took awhile to figure that one out !

I'm not clear if your problem had to do with item descriptions, or just with rounding. The problem you describe with the discount amount is due to a bug in your discount module, not QBI. Your discount module is displaying a rounded price of 7.55, so 4 items should cost 30.20. It is, however, entering the unrounded price of 7.5525, which equals 30.21 for 4 items.
So, it is actually Zen Cart that has the wrong price. QBI calculates the 4 items itself, but uses the online store's calculation for the total price, hence the out-of-balance condition. The ultimate solution is to fix your discount module, so that the customer is charged the correct price when they check out.

how do i do that? i think it is the one that came w/ the latest zencart upgrade, what is the file that does that so i can check?

i actually just got this error again. this time due to how the tax was calculated and being .01 off again. i never had this error in the past. just since upgrading from 138 to 139e. i'm not sure of what other changes could have caused this.

Make sure that you are not using a Sales Tax Group in QB. There is a major bug in QB regarding Sales Tax Groups that they have never fixed. In QB, the individual taxes in the group get rounded to 2 placed before being added together, instead of after, as it should be. Therefore, in random cases the calculation in QB can be off by one cent. The solution is to use a Sales Tax Item, not a Group.
Also, there are some payment modules that have rounding errors. Due to the way computers handle floating point numbers, sometimes rounding can be done incorrectly. This is corrected using a PHP statement such as:
$order->info[’total’]+=0.000001;
You can calculate the amounts yourself to see if this is what happened. This issue is described further in section 14a of the QBI 3.21 User Manual.

You'd need to find the forum area that deals with problems in discount modules, unless someone else can help you here. I don't have time to help with issues that aren't with QBI. Sometimes QBI reveals calculation errors in other modules that would not have been noticed otherwise.

Thanks for the great support and great contribution. I've been able to find workarounds for some of the limitations by making very minor changes or commenting something out.
This has allowed me to import as estimates, which can then be used to create sales orders.
Also, attributes are now imported only as part of the product description, without creating endless subitems in Quickbooks.
If anyone needs this let me know and I'll post what I did.
Does anybody know how to do this? It would be very helpful for my setup.

Hello, I installed QBI about 2-3 months ago. I stopped using it and decided to start using it again. Although now I cannot export new orders, it just says quan: 0. The All Previous Exporter goes to 481 but there are many after that, and it ends at: Jul 1, 2010 7:41 am. I have tried reinstalling QBI according to the manual but it doesnt change any of the saved data on what has been exported and what hasn't. How do I export New Orders if the quantity is 0 and there is many new orders?

New orders must meet two criteria:
1) Have never been downloaded before by QBI.
2) Status matches the Status you've selected on the QBI Configuration page for new orders.
If they are not showing as new orders, then one or both of the criteria above are not being met.

I have another question for ya. I'm trying to make a small script that automatically downloads just the new orders. The script is in the admin folder. The problem I am having is that the script returns a blank file. Here is my script:

Does anybody know if it is possible to import the web order as an invoice so that the invoice # falls inline with your current numbering sequence? If so how?

No, it is not possible with the iif import method. There is no way for QBI to know what the next Invoice number is, or if that number has been used "offline". This is a Quickbooks limitation. That's why QBI uses the PO number field. For Sales Orders, which is what you should be using if the customer has paid online, it will auto-number, but you still use the PO number field for the Zen Cart order number.

Hi! I'm new to the forum, but I have had my eye on Zen Cart since my sister-in-law has had tremendous success using it with her company. Starting out with Zen Cart, she now owns a 5k sqft store front.
I really need to know if there is a working Quickbooks module for the latest version of Zen Cart?
If so, where might I find it? Any and all help is greatly appreciated.

The existing free QBI 3.21 add-on should work fine with Zen Cart 1.39, although I have not tested it with PHP5.
